ASAP Cats is a high-save shelter dedicated to providing sheltering, placement, and prevention services to reduce animal homelessness and unnecessary euthanasia. As an independent 501(c)(3) nonprofit organization, ASAP Cats has been helping people and animals in Santa Barbara County for over 30 years.

SUMMARY: The Shelter Operations Supervisor is responsible for a wide range of day-to-day operations, programs and services for a full-service cat shelter including supervision of staff and volunteers. This position is responsible for managing ASAP’s capacity for care, including the efficient flow of animals into ASAP and individual pathway planning and support, from intake, through the duration of their stay, to appropriate outcomes.

REPORTS TO: Executive Director

PROVIDES DIRECT SUPERVISION TO: Volunteer Program & Foster Coordinator

Volunteer Leadership (Program Directors and other key volunteers, as directed)

ESSENTIAL FUNCTIONS:

· Supervise and assist staff and volunteers in operating all of ASAP’s shelter programs, including intake, feline behavior/enrichment, retention, animal care, foster care, adoptions (including matchmaking and counseling), offsite adoption outreach, volunteers, partnerships, community cats, Trap-Neuter-Release and alternative placements, community outreach, and communication with SB County Animal Services and other partner agencies.

· In collaboration with the Wellness Director and related Program Directors, manage the intake of owner surrendered animals, strays, and transfer requests, based on the current capacity for care at the shelter and in foster.

· Ensure that highest live release rate is met through adoption services that match animals with appropriate placements, reunification of lost cats with their owners, alternative placement for nonsocial/feral cats, transfers, offsite adoption locations, Trap-Neuter-Release, community cats, and foster placement.

· Optimize the movement of animals through the sheltering system to maximize lives saved, implement industry best practices, and engage in continuous process improvement for procedures, instructions, checklists, and flow diagrams related to animal management and flow.

· Perform daily walk-throughs of the shelter to guarantee proper sanitation, care, feeding, and disposition of the animals. In support of all staff and volunteers, ensure all cats receive proper daily care and are handled, housed, and socialized humanely.

· Lead weekly Wellness/Pathway planning meetings with assigned staff and Volunteer Leadership.

· Work in collaboration with the Executive Director, ASAP Veterinarian, Wellness Director, and Volunteer Leadership to build organizational capacity to develop and achieve established policies and goals.

· Support the Executive Director, Wellness Director, Volunteer & Foster Program Coordinator, and ASAP's Volunteer Leadership in evaluating, facilitating, and implementing program goals to enhance services for cats in our care and the community. Evaluate and propose to the Executive Director any needed new policy or procedural changes to ensure ASAP Cats is following industry best practices and the Association of Shelter Veterinarians Guidelines for Animal Care in Shelters.

· Collaborate with and provide supervision to Volunteer Leadership in various program areas, ensuring alignment with sheltering best practices and program goals.

· Provide oversight and supervision to the Foster & Volunteer Program Coordinator, ensuring that new volunteer leaders are being identified, mentored, and trained.

· In collaboration with ASAP’s Veterinarian and Wellness Director, and in supervision of the Volunteer & Foster Program Coordinator, ensure that all volunteers are consistently trained in a timely manner in safe and humane cat handling skills and on the proper and safe use of all equipment needed in the performance of their job duties.

· Collaborate with the Wellness & Facilities Supervisor, Volunteer & Foster Coordinator, and Wellness Director to oversee cleaning and maintenance protocols, staff and volunteer training, and safety measures, including PPE, equipment, product usage, storage, SDS availability, and safety sign posting. In collaboration with the Executive Director, Wellness Director the ASAP Veterinarian, and Volunteer Leadership support the development and implementation of written standards of care, standard operating procedures, and training tools for all work areas.

· Monitor safety compliance and take immediate action(s) required to report and correct hazards.

· Support and be a strong role model for ASAP’s Organizational Culture Agreement, including supporting the Volunteer & Foster Program Coordinator in creating an environment in which volunteers feel welcome and appreciated, and as a key member of ASAP’s leadership staff, ensuring collaborative and harmonious interactions between staff, the public, and other stakeholders.

· Actively cultivate a culture of excellence, efficiency, and effectiveness across the organization while creating and maintaining high standards of customer service.

· Utilize ShelterLuv to produce and maintain accurate statistics, reports, and animal care program data to support management reporting needs. Ensure data is input into the database per ASAP’s policies, accurately and in real time, and that paperwork is correct and filed properly and promptly.

· Collaborate with the Marketing Team to ensure creative and quick marketing of cats for adoption or foster care.

· Identify and provide content (data, photos, stories) for the donor newsletter (Cat Nips), Annual Report, weekly development emails, adoption promotions and other fundraising/marketing projects.

· In collaboration with the Executive Director, Business Manager, and other related staff, support financial objectives by assisting in forecasting, providing input for pertinent sections of the annual budget, monitoring program expenditures, and initiating corrective actions.

· Maintain an inventory list of all supplies for each area and department for the shelter, excluding the Wellness Department. This includes ensuring inventory on hand meets the daily and ongoing, needs of the shelter.

PHYSICAL/ENVIRONMENTAL REQUIREMENTS:

● Work environment includes constant exposure to felines and other animal allergens.

● Lift and move objects and animals weighing up to 25 pounds for short distances and to humanely restrain animals when necessary.

● Push/pull moderately heavy objects up to 50 pounds.

● Must be able to drive and possess a current California Driver’s License and proof of automobile insurance.

EDUCATIONAL REQUIREMENTS: A four-year college degree with preferred emphasis in animal sciences, business administration, or management. Qualifying work experience will be considered as an alternative.

EXPERIENCE, ABILITIES AND QUALITIES REQUIRED:

· 2-4 years of supervisory experience within an animal shelter or program/service delivery setting.

· Minimum of one year experience working with community groups, volunteers and other nonprofit programs and organizations.

· Knowledge of shelter maintenance techniques and accepted sanitary practices. Knowledge of common health and behavior problems in cats and impact of environment, familiarity with symptoms of disease and basic quarantine protocol, and grasp of basic learning theory preferred.

· Commitment to animal welfare, demonstrated affection for cats, and desire to prioritize their welfare in the workplace.

· Humane treatment: Promote a caring attitude toward animals and consistently treat them with compassion, even in challenging situations.

· Sound judgment: Demonstrate maturity, emotional intelligence, and professional composure when making sensitive decisions or interacting with staff, volunteers, and the public.

· Strong interpersonal skills: Maintain a professional, outgoing, and personable demeanor, and effectively communicate with diverse individuals, even in high-stress situations.

· Experience with shelter data software and record keeping, preferably ShelterLuv and google work environment.

· Computer proficient with Microsoft Suite; ability to learn new programs as required. Internet savvy.

· Must have a valid Driver’s License and be in good standing with Department of Motor Vehicles.

· Bilingual, Spanish preferred, but not required.

HOURS:FLSA STATUS: EXEMPT POSITION Minimum of 8 hours per day, 40 hours per week. Daily hours and days of the week may vary according to the needs of the department schedule. May include weekends, night, and holidays. Must be willing to be on call for emergencies on a 24-hour basis is (on rotation). Adherence to assigned work schedule is required.
