As an Arbitration and Mediation Case Filing Specialist, you will perform data entry and administrative tasks related to the initial filing and processing of Arbitration and Mediation Cases.
Compensation: $28.65 per hour ($55,850 annualized), plus a discretionary incentive opportunity that targets 7.5% of base pay ($4,200).

Responsibilities
  • Review new Arbitration and Mediation Case Filings to ensure compliance with filing requirements, due process protocols, and organizational policies.
  • Accurately enter data into an electronic case management system; scan, index, and analyze case documents; collaborate with colleagues and case owners to verify accuracy and completeness of case records.
  • Communicate with parties to resolve incomplete filings and respond to inquiries from filers in a timely manner; communicate AAA policies and procedures to parties; understand, interpret, and evaluate case issues based on standard policies, procedures, and protocols.
  • Select and create customer account/contact records in accordance with established policies and procedures; receive and respond to correspondence in accordance with established policies and procedures.
  • Ensure confidentiality of case information and case records; adhere to the AAA's information security and data privacy policies, procedures, and practices.
  • Consult regularly with supervisor for guidance to ensure quality and consistent standards; seek guidance from management to ensure quality and consistency; escalate complex and unresolved matters to management.
  • Assist with data maintenance and research projects.
  • Demonstrate regular, reliable, and predictable job attendance; attend on-site and in-person meetings and training sessions.

Qualifications
  • Associate's degree in a business-related discipline (e.g., Business Administration, Legal Studies); 1-2 years of progressive administrative work experience in a client-centered corporate environment (e.g., legal, financial, or consulting firms); or an equivalent combination of education and experience.
  • Able to read and interpret documents such as legal files, business correspondence, and procedure manuals; ability to write routine reports and business correspondence; ability to speak effectively, both in person and by telephone, to customers, arbitrators, mediators, or employees of the organization.
  • Intermediate proficiency with Microsoft Outlook, Word, and Excel.
  • Able to maintain confidentiality and discretion.
