Job description

The Opportunity Home San Antonio Innovative Technology department invites a talented and highly skilled individual willing to join the Cloud Applications Administrator and the Applications Administrator in supporting our ongoing digital transformation efforts that have challenged the status quo with the delivery of innovative, award winning technology which revolutionized the business landscape at Opportunity Home San Antonio. The incumbent will perform backup administrative duties to support the user privilege access, training, data analytics, business functional support, reporting and dashboarding of business software applications as assigned by the Director of Innovative Technology. The incumbent will assist the Application and Cloud Administrators in the management, support, troubleshooting and maintenance of business and cloud software applications. The incumbent assists the Application and Cloud Administrators and the Director of Innovative Technology with the planning, vetting, documentation, Security, project management, and implementation of new business and cloud applications. Assist with the efforts of training and education that assist staff in the effective and efficient utilization of business and cloud applications. Support the Application and Cloud administrators in the areas of administration and general functional business use of the business and cloud applications. Incumbents will be presented with direction and support of OJT, applied and focused training for growth and success. A key focus area will be the implementation, support, documentation and maintenance of the organization's cloud and business applications. The Applications Analyst will be familiar with and able to run JD Enterprise V9.2 ERP employee modules, assist with the NEOGOV Insight system for recruiting, perform and onboard modules and any other related Human Resources software.


The Applications analyst will report to the Cloud Administrator and will work in partnership with the Opportunity Home business departments as an data analyst in support of cloud and application business reporting.


All activities must support the Opportunity Home San Antonio mission, strategic outcomes, while producing results that accomplish the goals of the Department of Innovative Technology.

The position duties and responsibilities listed below describe the general nature and scope of work. Other responsibilities, duties, and skills may be required and assigned, as needed.


  • Assist the Innovative Technology department initiatives including business software application implementations, upgrades, process enhancements, reporting and data analysis.

  • Assist the Administration team in driving value by assisting in the design of training programs, writing presentation and content; assist with the presentation of training to the user community

  • Assist with the documenting efforts to document business processes, enhancing the organization's reporting capabilities.

  • Identifying areas for improvement through technical solutions, optimizing business processes and analyzing and interpreting data to assist management with decision making, policy formulation and strategy.

  • Partner with the IT team to resolve application problems and maintain Business Application Software configurations, provide routine and ad hoc reports and queries as needed, ensure compliance with legal and audit standards, maintain overall data integrity, and learn business acumen to support business improvements.

  • Assist in the evaluation, configuration and enhancements of cloud and business applications; assist with Business and Cloud Application Software integration to optimize, automate and enhance the user experience.

  • Assist with the business and cloud user access privilege access, administration and user provisioning and deprovisioning of business and cloud applications.

  • Establishes policies and standards for the content, design, implementation and maintenance of Business and cloud Applications and procedures.

  • Assist with ensuring business and cloud applications systems are in compliance with professional standards, state and federal regulatory requirements.

  • Stays abreast of the latest technology trends, features as it pertains to maintaining performance and improvements to Business and cloud applications.

  • Consults with the Director of Innovative Technology, cloud and application administrators regarding Business Software Applications improvements, enhancements and changes.

  • Ensures Business Software Applications are easy to use and available to the Opportunity Home SA user community.

  • Assist with the system maintenance and support including reviewing, testing and implementation of Business and cloud Applications including any upgrades and/or patches or cyber security enhancements

  • Analyzes and reviews and analyzes current business processes to direct the digital conversion of manual processes to leverage relevant technologies that will streamline business processes.

  • Designs and constructs forms, templates and Dashboards where applicable

  • Partners with Public Affairs and the Director of Innovative Technology to build on brand content for presentations

  • Develops appropriate documentation related to applications and cloud administration, maintenance, procedures and cyber security.

  • Assist with test plans and implementation rollouts for the NeoGov, Learning Management System, LaserFiche Document Management and Human Capital software applications, Client management systems and JDE ERP System.

  • Assist the onboarding and offboarding Innovative Technology team with new hires and terminations, where applicable. Assists with IT new hire onboarding with presenting key procedural overview of the technology life and use of technology at Opportunity Home.

  • Using Change Management procedures or initiating help tickets where needed to support Business Software applications systems changes that affect user availability.

  • Keeps abreast of upgrades, feature enhancements and changes for all Business Software applications. Manage and oversee the cloud and vendor patch management to ensure all patches are applied to our test and production environments.

  • Assist with maintaining Maintain, purchase, and allocate software licenses for all Opportunity Home Business Software Applications including but not limited to; Elite Customer Management System, JDE ERP system, the LMS, LaserFiche Document management and Neogov; work with the IT Coordinator and the Procurement department to maintain and ensure the timely annual renewal of the organization's Business Software Applications licenses.

  • Participate in the vetting of new Business Software Applications. Demonstrate use of resources that help stay relevant, bring ideation and innovation to leverage technology that delivers efficiencies and costs savings.

  • Completes the required training through CBT Nuggets, webinars, podcasts, conferences, white papers meetups or similar work groups, forums and other relevant training platforms to support continued technical education and career growth.

  • Works with the IT team to ensure the daily production ('Help Log') issues related to Business Software Applications are resolved within the 48 hours to deliver the Innovative Technology best in class customer service

  • Keeps Security "Top of Mind". Maintains data security and information confidentiality in accordance with legal requirements; protects our hybrid infrastructure by maintaining data confidentiality and integrity through access systems and user levels of access. Participate in the IT team Security "Top of Mind" Google Space by submitting relevant articles and assistance to protect and defend our Business Application Software

  • Assists with Open Records requests from the Legal Department as required; help gather data and respond accordingly to GovQA portal.

  • Execute and utilize the IT Department project management techniques, the IT communication process and the IT Go Live process; develop and submit comprehensive test plans that support the 100% successful delivery of new Business Software Applications implementations.

  • Performs other duties as assigned.

Education + Experience

Required

  • Bachelor's Degree from an accredited college or university in information systems, computer science, or related field. An equivalent combination of education and experience may be considered.

  • 2 years of progressively responsible experience in business and cloud applications

  • Must have the ability to learn and use cloud applications such as the Google Workspace applications to include but not limited to: Google Chrome Browser, Gmail, Drive, Calendar, Docs, Sheets and Slides. Understanding document sharing and collaboration in the cloud. Experience and proficiency with Microsoft Office 365, cloud accessible applications to include but not limited to: One drive, Outlook, Word, Excel and Powerpoint or MAC or PC desktop equivalent is acceptable.

  • Successful completion of a criminal history background check, education and work history verification and drug screening test.


Preferred

  • Ability to learn cloud technologies such as LucidChart for diagram , workflow and chart drawing. Experience with Vizio or equivalent is acceptable. Basic understanding of Virtual Private Network (VPN) access to connect to internal business systems.

  • Willing to build on a foundation of Business and cloud Application understanding, implementation, configuration and rollout processes.

  • Willingness to go Cloud, go Google and move forward to be a vital and productive participant in bringing the best in class to our cloud based Business Software Applications


License + Certificates

  • Must have the ability to earn technical certifications as required by assigned tasks.

  • Texas Class "C" driver's license at the time of placement and be insurable by the Housing Authority's liability and fleet insurance carrier.


Technical Skills

To perform this job successfully, the employee should have


  • Strong understanding of Cloud applications for business.

  • Skilled in the business and cloud technologies, such as: Elite Customer Management System, Learning Management System (LMS), Laserfiche Document Management System, Neogov Human Capital software modules, JDE HR People modules and the Google Workspace Applications.

  • Strong and demonstrated understanding of project management phases, techniques, and time management tools is required.

  • Embrace the IT implementation cycle

  • Must have the ability to learn other computer software programs as required by assigned tasks.

  • Knowledge and skills to administer SaaS platforms, cloud applications including but not limited to the Learning Management System, Document Management System and Neogov, JDE and CMS system, Elite.

  • Ability to learn advanced use of Google Workspace apps, LucidChart, Docusign and Virtru.
