SUMMARY OF POSITION:

Under the direction of the Senior Director, Ambulatory Operations and Performance, the Ambulatory Operations Program Manager manages administrative and operational activities for ongoing operations and quality improvement projects. Ensures that activities are carried out by established timeliness and specifications; coordinates interdepartmental functions to minimize project delays or course correction when necessary. Meets with clinic managers regularly to review program status and develop future action plans.


ESSENTIAL DUTIES:

  • Provide program leadership to ambulatory operations and performance initiatives to support the Academic Practice Division. Assists in the design, training, and implementation of support activities for non-clinical and clinical staff to support program implementation.
  • Provide advice and counsel serving as a consultant to staff, site managers, and physicians in the outpatient clinics. Collaborate with Penn State Health business partners, technicians, technology staff, and vendors to define project scope, desired results, and deliverables.
  • Create and update program and related project documents, preserve and maintain key program information for future use and reference.
  • Assign program responsibilities and manage tasks to meet deadlines.
  • Oversee deliverables assigned to colleagues, vendors, and others to ensure timely completion of projects.
  • Meet with team members regularly to review project status, keep directors informed of changes, and plan for future actions.
  • Manages and facilitates team and user meetings.
  • Communicates relevant updates to management and physician leaders. Develop and maintain a detailed schedule with team input, including schedules, project milestones, metrics, work plans, resources, communication plans, issue resolution plans, and status reports.
  • Identify project risks/gaps and create a risk mitigation plan. Represent Senior Director, Ambulatory Operations and Performance on various clinical, operational, and improvement initiatives, meetings, and committees.
  • Monitor the needs and successes of quality improvement and patient safety programs and project

MINIMUM QUALIFICATION(S):

  • A minimum of five (5) years’ experience in ambulatory healthcare settings.
  • Bachelor’s Degree in Business Healthcare or relevant field required.
  • A minimum of three (3) years’ experience managing programs/projects required.
