The Allen School is seeking outstanding candidates for the position of Allen Scholars Academic Adviser.
The Allen Scholars Academic Adviser (UW title: Counseling Services Coordinator) will join the growing Diversity & Access team within undergraduate student services at the Allen School. Under the supervision of the Assistant Director for Diversity & Access, the primary responsibility of the Allen Scholars Academic Adviser will be to provide advising and programmatic support for undergraduate students participating in the Allen School Scholars Program. The Allen School Scholars Program (Allen Scholars) is a one-year cohort-based program for emerging leaders from first generation, low-income, and underserved communities from Washington State who are pursuing a degree in Computer Science or Computer Engineering. Students enter Allen Scholars as freshman and remain active program participants throughout their first-year in the Allen School. The Allen Scholars Academic Adviser will provide proactive individual academic advising and success coaching, as well as to promote the well-being and academic excellence for the Allen Scholars student cohort. This position will be instrumental in helping to support, retain, and graduate generations of Allen School students.
This is a temporary position from February 2024 - end of September 2024.
DUTIES AND RESPONSIBILITIES
STUDENT ADVISING (50%)

  • Provide intrusive advising for Allen Scholars students. Utilize comprehensive and holistic approach to engaging in intrusive, proactive developmental academic, professional and personal counseling/advising/coaching. Be consistent in quickly identifying success barriers and immediately address issues.
  • Manage a student caseload of approximately 30 students. This includes three required 1:1 appointments with assigned Allen Scholars students during their first year in the Allen School.
  • Make referrals for students who need assistance with overcoming learning obstacles, specialized tutoring, or other extended or intensive assistance-in general effectively familiarizes students with college resources and how to utilize.
  • Regularly facilitate resolution of personal issues affecting academic progress or behavior of students.
  • Maintain an open-door policy and ongoing communication with students; strongly encourage students to seek out assistance when needed.
  • Facilitate students' academic progress by evaluating their Allen Scholars curriculum needs and developing appropriate Allen Scholars-related educational plans.
  • Schedule and register students for all Allen Scholars-related courses and workshops.
  • Keep informed of student progress and counsel students who do not meet university, Allen School and/or Allen Scholars Continuation Policy.
  • Work collaboratively with the Allen School Advising team in assisting students transitioning from Allen Scholars to Undergraduate Advising team after completion of the program.
  • Collect and maintain data on program activities; gather, compile, and organize student grades and progress; prepare and maintain accurate records which may be used for written and statistical reports.
  • Document interactions with students and keep updated records.
  • Assist with special requests. Write letters of support as necessary.
    SUMMER BRIDGE COURSE & ALLEN SCHOLARS PROGRAMMING (40%)
  • Assist with the Summer Bridge course during Early Fall Start (late August - mid September) with a focus on developing and implementing college readiness curriculum.
  • Collaborate with Allen Scholars Summer Bridge course staff to create a cohesive curriculum for the Summer Bridge course.
  • Work closely with UW Housing & Food Services to support summer on-campus housing for students during the Allen Scholars Bridge course.
  • Cultivate a sense of community, with detailed attention to building and promoting a sense of belonging and inclusivity and creating a welcoming learning environment for all students. This includes being adept at facilitating difficult conversations when required as part of community-building and creating an inclusive environment.
  • Assist with the Allen Scholars Study Hall course during the academic year with a focus on study skills development, metacognition, and professional development that are steeped in both learning and student development theory.
  • Assist with the organization of Allen Scholars cohort meet-up events each quarter aimed at community development including the Allen Scholars End-of-Year program celebration Spring quarter.
    COMMUNITY PARTNERSHIPS (5%)
    Meeting quarterly with community partners to provide intentional support for Allen Scholars students. Community partners includes (but limited to): Office of Minority Affairs & Diversity, Brotherhood Initiative, Sisterhood Initiative, Pathways for Inclusive Excellence programs.
    ADDITIONAL (5%)
  • Assist with the maintenance of Allen Scholars recruitment materials including flyers, websites, and information session slides.
  • Support events and programs hosted by other members of the Diversity & Access Team.
  • Other duties and/or special projects assigned by Assistant Director of Diversity & Access and other Allen Scholars staff.
    MINIMUM REQUIREMENTS
  • At least 2 years of related experience in counseling pre-college students and undergraduates.
  • Bachelor's Degree in Education, Counseling, STEM, or related field.
    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
    ADDITIONAL REQUIREMENTS
  • Demonstrated experience with developing, planning, and implementing events for students and their families.
  • Must have cultural competency and experience working with low-income, first-generation, and Black, Indigenous, and People of Color (BIPOC) students. This includes knowledge of the social, emotional and structural issues affecting students historically underrepresented in higher education.
  • Excellent organizational skills and a demonstrated ability to multi-task, prioritize work, and manage heavy workloads with frequent interruptions.
  • Demonstrated experience organizing and collaborating with multiple stakeholders.
  • Strong oral and written communication skills, with the ability to effectively communicate with diverse groups in a team environment.
  • Proficient with computers, including experience working with databases, Microsoft Office, e-mail and Internet systems.
  • Ability to pick-up and learn administrative tools and systems used by our department including Microsoft Office, Google's suite, Slack, etc.
  • Strong public speaking skills and the ability to present the University in a positive way to diverse populations.
  • A highly motivated self-starter with an ability to set and meet goals, to make decisions independently, and to multi-task and prioritize in fast-paced environments.
  • Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment.
    DESIRED QUALIFICATIONS
  • Experience leading initiatives, promoting diversity in higher education and counseling STEM students at a large public university.
  • Familiarity with UW student related policies and procedures.
  • Experience with UW student database systems.
    CONDITIONS OF EMPLOYMENT
  • Ability to work a flexible schedule, which may include additional hours to support occasional evening program events and activities.
  • Ability to lift loads up to 25 pounds.
  • This position is eligible for a hybrid schedule (up to two days per week from home/remote) except during the 4-week Allen Scholars Summer Bridge Course. During Summer Bridge, the person in this position will be required to work four days per week in person.
