Job description

Job Title: Advancment Coordinator

Reports To: Executive Director

FLSA Status: Exempt

Summary: The Advancement Coordinator provides administrative support to the Executive Director in matters relating to strategic fundraising and communication objectives for the organization. This position supports external relations and oversees the administrative process for advancement; coordination of all events related to fundraising and advancement work of the organization; and direct support services for the Executive Director in their external role and fundraising activities. This position also provides coordination of donor/gift tracking system and stewardship activities, gift acknowledgements, corporate giving, and annual funds.

Duties and Responsibilities include the following. Other duties may be assigned.

  • Provide assistance to the Executive Director to ensure
  • Answer income phone calls and inquiries, and refer to the appropriate department and/or staff as needed
  • Coordinate with Executive Director and with the Operations Manager to identify advancement/funding needs and opportunities
  • Complete donor research and summarize contact reports. Generate reports as
  • requested to support individual stewardship plans
  • Gather narrative and financial information for scholarships, endowments, building projects, major programs, etc. to enable organization leadership to push advancement
  • Support Board Committee meetings as needed
  • Plan and coordinate special donor, client and volunteer events for LTCC. Duties can include, but are not limited to: selection of event sites; design of invitation text; coordination of invitation mailing and RSVP processes; monitoring of event vendors; coordination of overall event logistics; and post-event clean-up activities
  • Lead the planning and coordination of LTCC Advancement projects, activities and events
  • Serve as the first point of contact for LTCC departments/programs to interpret and process requests for donor and gift information
  • Coordinate the LTCC cash, pledge, and in-kind gift processing and acknowledgment operation to ensure timely recognitions of all gifts
  • Create letter templates for acknowledgments and ensure that these templates are modified and updated as needed
  • Coordinate and maintain donor and gift records by accurately tracking all gift deposits, investigating discrepancies, and ensure that gifts are properly credited
  • Write and process grants from corporations and public and private philanthropy, which involves researching and working with various departments to document goals and support objectives for the use of the funds

Language Ability:

Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills:

To perform this job successfully, an individual should have knowledge of Google Docs and Google Sheets.

Education/Experience:

High school diploma or general education degree (GED); or one to two years related experience and/or training; or equivalent combination of education and experience.
