The Fleet Services Division is on the hunt for a dynamic Administrator to join our Motor Pool Dispatch and Personal Property team.

This recruitment is to fill a Special Duty Assignment or Term Limited Temporary Position that is anticipated to last for two years.
Scope of Job Duties: To be considered for this opportunity, you must at a minimum demonstrate skill and ability to:
Operations:

  • Administrative Support: Review, proofread, and format all correspondence prepared for signature to ensure accuracy and completeness. Track and follow up with staff to ensure deadlines are met. Work on multiple special projects. Coordinate new staff onboarding, standard work processes, staff moves and facility.
  • Payroll: Process payroll for Fleet in Peoplesoft payroll system. This includes preparation and maintenance of payroll records, adjustments and corrections to payroll benefit accruals and other payroll information.
  • Financial:Process Expense and travel reimbursements for section staff including appropriate account coding and assist with the preparation of various budgetary reporting. Order and maintain office supplies inventory and assist with the procurement of technical equipment for the Operations section.
  • Records Management: Manage the electronic (ERMS) and physical records of the Operations section and track and coordinate public disclosure requests.
  • Special Projects: Provide support to Fleet Operations staff by working on cross-functional projects including legislation, policy updates, Lean, employee engagement, Equity and Social Justice, and human resources. Transport vehicles to outside vendors for repairs and upgrades.
Motor Pool Dispatch:
  • Resolve technical issues, handle troubleshooting, and provide customer service.
  • Process new user accounts and user access in the Motor Pool Dispatch reservation system Manage scheduling of vehicles for maintenance and cleaning.
  • Develop internal marketing materials, user guides, and pamphlets.
  • Deploy weekly customer surveys and present vehicle reservation and utilization reports Support Supervisors/Managers in generating utilization reports.
  • Handle asset and account management in the Motor Pool Dispatch reservation system Collaborate with Fleet staff at the Renton and Orcas shops.
  • Assist KC Agencies with their pooled vehicles using the Motor Pool Dispatch reservation system.
  • Transport vehicles to and from the shop for service. Transport vehicles to get cleaned.
We are looking for candidates who:
  • Have strong background in providing senior-level administrative support with responsibilities that have advanced progressively, with the ability to use good judgment in making independent decisions with a high degree of tact and diplomacy; OR any equivalent combination of education and experience that clearly demonstrates the ability to perform all the essential duties of the position.
  • Enjoy working collaboratively in a team environment; willing to pitch in to help other team members. Have good proactive time management skills that allow for you to successfully complete tasks on time. Enjoy juggling multiple competing priorities with tight timelines with the ability to prioritize work.
  • Proficient with the Microsoft Office Suite (particularly MS Excel) and are comfortable with the use of office productivity software and relational databases in their daily work.
Other qualifications that would be helpful in this role:
  • Experience working in asset management, reservation, and inventory systems Experience working in new program setup.
  • Data entry experience
  • Experience processing payroll
Supplemental Information
Location: This position will be based at the Georgetown Shop with occasional travel to various King County sites to fulfill job responsibilities. This is not a remote/hybrid position.
