BILINGUAL OFFICE ADMINISTRATOR: ( MUST BE BILINGUAL)
4M Building Solutions is seeking to hire a full-time Office Administrator to join our Team. We are a company that takes pride in our 360 Degree Teamwork and Family Culture.
Job Responsibilities:
- Greet each person who visits the office. Visitors enter by electronically unlocking the door
- Assist Job seekers with filling out applications/documents via phone or laptop ( some candidates may not speak English)
- Provide and Share the schedule and location of existing/open positions to job seekers and assist with identifying which locations would be the best fit
- Assist job seekers via phone and text message with questions and guidance
- Able to conduct Face to face-to-face interviews and send offer letters to applicants via ATS ( Paycor)
- Submit Background Checks and provide Drug Test instructions - following the necessary processes
- Schedule appointments with applicants After the Background check is complete to complete the onboarding process
- Provide the Union application ( if it applies) and proper instructions on how to complete the document.
- Provide a Paycard to those who prefer PC, and explain how the process and usage works
- Provide each New Hire a Welcome packet and Employee Shirt
- Make sure all New Hires leave with their Account location, address, schedule, and telephone number of their direct report
- Email the Direct Report/ Managers of the account informing them of the New Hire, Start date, and Account
- Share the New Hire profile with your Direct Report
- Scan and upload documents in the ATS
- Communicate with the Payroll and HR
- Follow Guidelines for rehires
- Assist Managers when needed
- Provide Admin duties/ instruction for employees who miss work hours
- Assist employees who need to change W-2 statuses
- Assist when employees need to reset/change passwords
- Assist other departments by transferring all incoming calls to the correct contact

Experience:
- Knowledge of General HR standards and processes
