Job Description: Studio Administrator / Assistant Studio Manager
Position Summary:
We are seeking a detail-oriented and organized Studio Administrator to oversee the administrative operations of our studio. As a Studio Administrator, you will play a pivotal role in managing day-to-day administrative tasks, coordinating schedules, supporting client interactions, and ensuring the smooth functioning of the studio. This position requires excellent organizational skills, strong communication abilities, and the ability to multitask in a fast-paced environment.
Schedule:
Hybrid work schedule format with 2-3 core days per week in person at studio and the remaining days in the week performed remotely. 4 day work week with one Friday per month (or as required) as a catchup Friday.
Responsibilities:
1. Administrative Support: Provide general administrative support to the studio, including phone calls, responding to emails, and managing correspondence. Maintain studio calendars, schedule appointments, and handle document management and filing.
2. Client Coordination: Serve as a primary point of contact for clients, handling inquiries, scheduling appointments, and ensuring client satisfaction. Coordinate client meetings, and provide information about studio services, pricing, and policies.
3. Studio Operations: Oversee the day-to-day operations of the studio, including capturing and uploading data from shoots, creating photo galleries, reviewing videos, maintaining inventory of supplies and equipment, coordinating maintenance and repairs, and ensuring a clean and organized studio environment.
4. Appointment Management: Manage studio schedules and appointments, coordinating with studio staff and clients to ensure smooth scheduling and timely service delivery. Update and maintain appointment software or booking systems.
5. Financial Administration: Assist with financial tasks, such as managing client payments, issuing invoices, and tracking studio expenses. Collaborate with the finance department to ensure accurate record-keeping and timely financial transactions.
6. Communication and Correspondence: Handle studio communications, both internal and external. Communicate with studio staff, clients, vendors, and suppliers via email, phone, or in-person. Draft and distribute studio announcements, newsletters, and marketing materials.
7. Database and Record Maintenance: Maintain accurate and up-to-date client records, studio databases, and filing systems. Ensure data integrity and confidentiality of client information. Generate reports and assist in data analysis as needed.
8. Event Coordination: Assist in the planning and execution of studio events, workshops, or classes. Coordinate logistics, handle registrations, and provide on-site support during events.
9. Studio Promotion: Collaborate with the marketing team to support studio promotions and marketing campaigns. Assist in social media management, content creation, and other marketing activities as required.
10. Team Support: Provide support to studio staff, such as managing their schedules, coordinating meetings, and assisting with administrative tasks. Foster a positive and collaborative studio environment.
Basic Requirements:
- High school diploma or equivalent (Bachelor's degree preferred).
- Proven experience in an administrative or coordinator role, preferably in a studio or similar environment.
- Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
- Strong verbal and written communication skills, with a professional and friendly demeanor.
- Proficiency in Google Suite (Docs, sheets, and presenations) and familiarity with scheduling software or booking systems.
- Attention to detail and accuracy in handling administrative tasks and client information.
- Ability to work independently and collaboratively in a team environment.
- Customer service-oriented with strong interpersonal skills.
- Knowledge of basic financial and accounting principles.
- Flexibility and adaptability to changing studio needs and schedules.
- Creativity and an interest in the arts or creative industries is a plus.
Bonus Requirement:
-Creative College degree
-Knowledge with backend web design and development (HTML, webflow etc)
-Knowledge of graphic design programs
-Knowledge and experience with editing programs (Adobe Creative Suite, Adobe premiere, Final Cut X, Davinci resolve, Figma, Canva, etc)
-Knowledge in social media marketing and platforms
