Job Overview:
We are seeking a skilled and detail-oriented Bookkeeper/Administrative Assistant to join our team. This role consists of 90% Bookkeeping tasks, with 10% of the role focused on minor Administrative tasks. As a Bookkeeper, you will be responsible for maintaining accurate financial records, performing various accounting tasks and invoicing support. As an Administrative Assistant, you will be asked to aid with logistics planning duties such as booking contractor lodging & flights and time-sheet support.
This is a vital role within our organization, ensuring the smooth operation of our financial processes.
Bookkeeping Duties:
- Maintain and update financial records, including accounts payable and accounts receivable
- Process invoices, receipts, and payments
- Perform account reconciliations to ensure accuracy
- Assist with budgeting and forecasting activities
- Monitor and analyze financial data to identify discrepancies or trends
- Prepare monthly/quarterly financial reports for management review
- Conduct account analysis to ensure compliance with accounting principles and regulations
- Utilize accounting software (Xero) to record transactions and generate reports
Administrative Duties:
- Logistics planning for incoming Contractors (Hotels, Flights, Vehicles)
- Assist in Company Vehicle arrangements for multiple location needs
- Support in time-sheet accounting, overtime, etc to ensure all payments to employees and contractors are accurate
Qualifications:
- Proven experience as a Bookkeeper or in a similar role
- Strong knowledge of accounting principles and practices
- Proficiency in using accounting software (e.g., QuickBooks, Xero)
- Excellent attention to detail and accuracy
- Ability to analyze financial data and generate reports
- Familiarity with budgeting processes
- Knowledge of debits, credits, and general ledger functions
- Experience with account reconciliation techniques
- Understanding of technical accounting concepts (e.g., accruals, deferrals)
- Familiarity with governmental accounting regulations is a plus
