JOB SUMMARY: Under the supervision of the Director of Water Production, provides confidential Administrative Support to Water Production. Works in a team environment to complete special projects and activities to meet utility needs.
ESSENTIAL FUNCTIONS:
- Provides support and communication to Water Production employees including providing information on department procedures, policies, and services, software training and troubleshooting.
- Uses multiple databases within Water Production to input and extract operational data.
- Performs administrative duties such as: screen telephone calls, greet/direct people to the appropriate personnel, determine the urgency of requests and coordinate notification to ensure proper response to emergencies; open and sort mail; photocopy and scan. Prepares and completes required reports, daily records and time sheets. Composes and transcribes documents for outgoing correspondence, memos, reports and other documents. Establish and maintain paper and electronic filing system. Track and monitor office supply inventory and arrange for replenishment of items as necessary.
- Generates chemical usage figures by monitoring and summarizing chemical deliveries.
- Assists with preparation, review, and reconciliation of regulatory correspondence, reports (monthly, yearly, etc.), and other legally required submissions.
- Uses utility enterprise system software to assist in purchasing, receiving, time entry, and time entry reconciliations.
- Initiates and proofs department payroll and leave request forms and distributes to appropriate personnel.
- Records, types and distributes minutes for Central Safety Committee and maintains Hazard Assessment Excel spreadsheet.
- Reconciles and prepares bills for payment and enters invoices in spreadsheets, to include utility invoices and contractor work.
- Enters work tickets and daily fuel usage in Vehicle Maintenance Software.
- Performs other duties of similar nature.
MINIMUM QUALIFICATIONS:
Education:
Associate degree
Experience:
Two years administrative experience. Bachelor’s degree may be substituted for required experience.
Licenses/Certifications:
Valid driver’s license and a good driving record.
Preferred Qualifications:
At least five years of office experience including exposure to a wide variety of database driven software.
