Administrative Support Specialist

Under the direction of the Manager of Accounting, you will be responsible for the daily answering of phones and accounts receivable functions, as well as assisting in a variety of general office functions as business needs require.

ESSENTIAL SKILLS
- Work in a safe and efficient manner, according to AgState’s Safety Policy.
- Demonstrate work habits that develop, build, and support the team concept within the organization.
- Welcome customers/visitors, always utilizing professional and pleasant customer service skills to determine the nature of business and direct them to appropriate personnel.
- Answer calls and assist when able; otherwise, transfer calls to the appropriate personnel.
- Receive payments from customer and apply payments to their accounts.
- Process outbound and inbound mail and courier packages
- Process deposits and verify accuracy.
- Review outgoing Accounts Payable checks for accuracy.
- Perform clerical duties such as filing, photocopying, scanning, and collating.
- Other accounting responsibilities as assigned.
- Organize daily reports and distribute them to appropriate personnel.
- Backup and assist other team members within the office as needed.
- Prepare miscellaneous reports for teammates.
- Order and keep inventory of office supplies and forms through various vendors.
- Maintain calendar/ scheduling of meeting room and board room.
- Coordinate meeting scheduling, snacks, and refreshments.
EDUCATION AND REQUIREMENTS
- Minimum of six months related experience and/or training, or equivalent of education and experience.
- Ability to work overtime as required.
- Valid Driver License.
- Must be proficient with Microsoft Office Software (Word, Excel, Outlook).
- Produce quality work on a consistent and timely basis.
- Collaborative approach when collaborating with peers in a multi-location setting.
- Helpful, supportive communicator with supervisors and peers.
- Repetitive routines in a variety of work.
- Detailed orientated and excellent organizational skills.
