General Position Description:

United Way of the Ozarks is seeking a highly motivated and detail-oriented individual to join our team as an Administrative Assistant. This pivotal role will serve as a key support position for an outsourced accounting entity, ensuring seamless coordination in the transfer and documentation of files. The successful candidate will oversee database management, ensuring the accuracy and strategic utilization of data, and contribute to the success of various campaigns and donor engagement initiatives. Duties and Responsibilities:

  • Ensure that the following are accomplished/processed: donations, payments, payables, invoicing.
  • Work with outside processor to prepare and provide timely financial information and responses to inquiries.
  • Ensure collection/assembly of information for external auditors for the annual audit.
  • Oversee processing, tracking, and forwarding of pledge forms during annual campaign.
  • Ensure that donor data and reports are maintained in the Donor Database
  • Assist with basic finance-related tasks to support the financial operations of the organization.
  • Manage and accurately file both physical and digital records.
  • Create and navigate new processes for uploading and documenting files for the outsourced accounting entity through Microsoft SharePoint.
  • Oversee and manage the organization's database, ensuring data quality and strategic use, and identifying opportunities to enhance workflows through new features and processes.
  • Develop and maintain standard and custom queries to extract data for various purposes.
  • Compile data to provide daily, weekly, and specialized reports needed for the annual campaign and year-round donor engagement.
  • Generate and mail donor acknowledgment letters.
  • Participate in the development of processes to ensure collaboration, integration, and alignment across all UWO teams.
  • Ensure consistent implementation and recommend improvements of policies and processes within areas of responsibility.
  • Lead database maintenance efforts, including merging accounts and identifying data elements requiring annual review and updates.
  • Collect and record campaign reports from third-party processors, Global Corporate Leader campaigns, and other local United Ways.
  • Provide backup office operations support when needed, including answering phones & greeting visitors.
  • Safeguard confidential information used in the performance of duties.
  • Oversee data and document retention.
  • Contribute to the overall success of United Way of the Ozarks by performing other essential duties and responsibilities as assigned.

Knowledge, Skills and Abilities:

  • High School diploma is required. Associate or Bachelor’s degree is preferred.
  • Minimum of one year of experience working in office administration or related position.
  • Digital literacy and research skills, including the ability to analyze the reliability of information.
  • Excellent attention to detail with a focus on accuracy.
  • Strong organizational and communication skills.
  • Basic knowledge of finance-related tasks.
  • Experience with data management and reporting.
  • Proactive approach to problem-solving and process improvement.
  • Experience with Microsoft Office applications.
  • Knowledge of best practices in data management, reporting, and analysis.
  • Ability to work with individuals possessing varying levels of technical skills.
  • Team oriented with a commitment to fostering strong, productive working relationships with all staff, volunteers, and the overall community.
  • Ability to work under time and performance pressure efficiently and accurately.
  • Project and maintain a positive and professional attitude.
  • Hold self accountable for high-quality, timely, and effective results.
  • Ability to work well independently with minimum direct supervision.

Position Type/Expected Hours of Work

This is a full-time, nonexempt position. Days and hours of work are typically Monday through Friday, 8:00 a.m. to 5 p.m.
