University of Hawai‘i, Kapi‘olani Community College, Human Resources Department is seeking applications for the Administrative Support Specialist (Casual Hire). Important note: Applicants seeking short-term or part-time work with the University of Hawai'i may apply for Casual Hire positions, which include administrative, professional, and technical (APT) or instructional-type positions. Because of the temporary nature of these appointments, Casual Hire employees are not eligible for most benefits as provided to regular BOR and Civil Service employees (i.e. paid holidays/leave). Casual Hire appointments may last for up to 89 days for full-time employees, and up to 1 calendar year for part-time employees.

Selected candidate is expected to start on May 2, 2024. Continuation is dependent on satisfactory performance, program needs, and renewal of funds.

Duties and Responsibilities
:

  • To assist faculty and staff with the completion of general employment forms, such as federal and state tax forms, change of address, etc.
  • Coordinates the SECE (Student Employment System) for the campus, independently maintains the system and responds to inquiries from students and employers.
  • Assists and responds to questions from the general public, students, faculty, and visitors by telephone and over the counter, using discretion, confidentiality and tact.
  • Assists in coordinating registration, preparation of documents, facilities for HR training sessions.
  • Assists in training new HR personnel on office procedures
  • Scanning, sorting, labeling, and digitally dispersing documents to be uploaded to an HR system;
  • To assist HR staff with updated campus and system-level HR form, which includes creating, updating, editing online forms and checklists
  • To assist the Human Resources Office by answering the telephones, referring visitors to the appropriate person and/or office, filing, photocopying, and providing general assistance to students looking for on-campus employment.
  • To assist in managing google drive which includes creating an index for reference as well as organizing files and folders.
  • General office tasks such as answering the telephones, referring visitors to the appropriate person and/or office, filing, scanning/photocopying; and
  • Other duties as assigned.

Minimum Qualifications
:

  • Possession of a baccalaureate degree in Business Administration, human resources management or related field and 0 year(s) of progressively responsible professional experience with responsibilities for human resources management; or equivalent education/training or experience.
  • Functional knowledge of principles, practices, and techniques in human resources management demonstrated by knowledge, understanding, and ability to apply concepts, terminology.
  • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with human resources.
  • Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the areas of human resources.
  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software.
  • Any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
