JOB SUMMARY
Under the direction of the Health & Human Services (HHS) Office Manager, the Health & Human Services (HHS) Administrative Representative is responsible for the HHS front desk by screening and directing callers and face-to-face customers to appropriate staff/units. The HHS Administrative Representative must possess excellent customer service skills while multi-tasking. This position handles sensitive, highly confidential information. This position provides support to external customers by copying, prepping/scanning/indexing many types of documents. The HHS Administrative Representative is also responsible for providing clerical support to internal customers by processing mail, copying documents, send/receive faxes, and prepping/scanning/indexing many types of documents, and maintaining and updating various department records, forms, manuals, brochures or informational packets. This position also performs varied administrative duties, including creating and maintaining departmental spreadsheets and other relevant files. This position is expected to work in-person in the office at the Chaska Government Center.
This position is expected to work in-person, Monday-Friday, 8:00-4:30 at the Chaska Government Center.
TYPICAL DUTIES AND RESPONSIBILITIES
- Direct callers and walk-in customers to appropriate parties or units within the agency.
- Prepares, scans and indexes documents for various units within the agency.
- Performs and conducts various record management and record maintenance functions for the agency.
- Opens, sorts and distributes all incoming mail and faxes for the agency. Delivers outgoing mail to the County mail room.
- Maintains agency forms, informational packets and agency supplies.
- Operates and troubleshoots office equipment.
- Maintains a safe and functional environment for staff and customers.
- Performs other comparable duties of a like or similar nature as assigned.
MINIMUM QUALIFICATIONS
- High school diploma or GED and
- 2 years of clerical/customer service or related work experience
- Associates Degree and
- 1 year of clerical/customer service or related work experience
- Valid driver's license or evidence of equivalent mobility.
SCORED EXAMINATION PROCESS
All applications will be screened for minimum qualifications, scored and ranked. The highest ranked candidates meeting minimum qualifications will be recommended for the scored oral examinations (interviews). Final selection for the position will include successful completion of oral interview(s), reference checks, and background investigation.
