- Duties:
General office work includes filing, opening/sorting mail, drafting correspondence, preparing mailings and ordering supplies
Greet guests, answer phones, take messages and follow up on voice mail
Assist in preparation of regularly scheduled reports
-Responsible for organization and general office upkeep
Maintain and invenotry of supplies and office equipment
Maintain donor records and database
Maintain bulletin boards and display racks, keep up to date with current information
Proof read publications including website, brochures, newsletters and correspondence
Assis in managing online resources - website & social media
Create excel documents, graphs and charts as directed
Assist with preparing documents for grants
Program Operations:
Assist with weekly food bank
Assist with all programs as needed - Kid Pack, Summer Lunch, Back to School Fair, Community Christmas
HR/Community Relations & Communications:
Assist program managers with recruiting and training volunteers
Maintain volunteer records
Assist with volunteer schedule & sign-ups
Reveiew new volunteer interests submissions & assist with matching duties and schedule
Share inforamtion and updates with volunteers
Develope volunteer relationships
Maintain volunteer communication, both in person and written
Qualifications:
Education: High School diploma
Experience: Two years general office administration experience
-Proven experience as an administrative assistant or in a similar role
-Excellent organizational skills and attention to detail
-Strong problems solving, critical thinking skills, communication skills, both written and
verbal
-Proficient in using MS Office (Word & Excell) Google Suite (Docs, Sheets, Slides) and other office software
-Ability to prioritize tasks and manage time effectively
- Strong proofreading skills to ensure accuracy of documents
- Ability to participate in an active team environment
- Knowledge of phone etiquette and customer service principles
