As we continue to grow, we are seeking a highly skilled and organized Administrative Specialist to join our team and provide crucial support to our Department Managers and support staff.
Our Interview Process

1. Initial Phone Screening: We start with a casual conversation to discuss the basic details of the position and to introduce you to our company culture. During this call, we'll also explain our interview process and answer any questions you may have.
2. In-Person Interview with HR/Hiring Manager: You'll have the opportunity to meet with our HR Manager to further discuss the position, your qualifications, and how you align with our company values.
3. Background Check and Drug Test: To ensure the safety and security of our team and clients, we conduct a thorough background check and drug test as part of our hiring process.
4. Final Interview – A final interview is conducted with our Director of Operations and/or President.
5. Working Interview

  • Part A: Day 1-Day 2: During the first phase of our working interview, you'll complete the First Sun EAP training. This comprehensive program familiarizes you with industry-wide professionalism standards through training guides, videos, and knowledge tests.
  • Part B: Day 3-Day 5: In the second phase, you'll be taught about the day-to-day functions of each of our major departments, Sales, Fulfillment and Field. You’ll be engaged in one department a day and receive brief training on the functions of each department.
  • Part C: Day 6-10: You engage in on-the-job training specific to the position you're applying for. For example, if you're interviewing for a Sales Support Specialist role, your duties may include:
    • Answering phones and recording messages
    • Receiving incoming calls from potential customers and documenting information in our CRM software
    • Facilitating communication within the Sales Department
    • Creating and distributing marketing materials
    • Maintaining accurate records of sales activities

You'll be compensated at a rate of $12.50/hour for the duration of this working interview At the end of this stage, you'll have the opportunity to negotiate your starting salary with upper management as you transition into a full-time employee.
5. Full-Time Onboarding: Once you've successfully completed the working interview stage and negotiated your salary, you'll undergo our comprehensive onboarding process to ensure a smooth transition into your new role
 

Position Overview:
The Administrative Specialist will play a vital role in our organization by providing high-level administrative support to Department Managers and support staff across various departments. This position involves conducting research, preparing reports, handling information requests, and performing clerical functions to ensure smooth workflow production. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
 

Essential Duties and Responsibilities:

  • Assist Department Managers and Support Staff with various reporting, logistical, and administrative functions.
  • Prepare and coordinate departmental reporting and presentations for leadership team and executive management.
  • Implement and monitor programs as directed by management, ensuring completion and effectiveness.
  • Answer phone calls, direct calls to appropriate parties, and take messages as needed.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents using office software.
  • Perform general office duties, including ordering supplies, maintaining records, and performing basic housekeeping tasks.
  • Review operating practices and procedures to identify areas for improvement in workflow, reporting procedures, or expenditures.
  • Understand and enforce policies and procedures applicable to department staff members.
  • Generate and distribute memos, emails, and reports as required.
  • Manage production workflow to ensure deadlines are met and work is completed accurately.
  • Perform other duties and responsibilities as assigned to maintain continuous workflow production for the organization.

Qualifications:

  • Associate’s degree in a related field or equivalent combination of education, experience, and training.
  • Three (3) years of related work experience in an administrative role.
  • Proficiency in Microsoft Office products.
  • Excellent organizational, problem-solving, and interpersonal skills.
  • Effective communication skills, both oral and written.
  • Strong attention to detail and ability to multitask in a fast-paced environment.
  • Ability to work independently and as part of a team.
  • Must adhere to ethical business practices and organizational standards.
  • Willingness to participate in performance improvement and continuous quality improvement initiatives.
  • Positive attitude and professional demeanor.

Work Environment: This job operates in an office environment. 

Physical Demands:
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stand; walk; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and distance vision.
