Part-Time Administrative Intake Coordinator Description
Monarch Learning and Attention Center is a small, privately-owned and operated psychological assessment practice located in Eden Prairie, Minnesota. Our psychologists provide psychoeducational testing for individuals with attention, learning, and social/emotional concerns. Further information about our practice can be found at . We are collaborative, compassionate, and client-centered in our approach, and we are seeking a like-minded administrative coordinator to support our work.
Job Responsibilities:
- Provides administrative support to ensure efficient operation of the office.
- Answers phone calls, schedules meetings, and supports visitors.
- Manages client inquiries and client communications.
- Provides basic psychoeducation regarding types of evaluations and their benefits.
- Carries out administrative duties such as electronic filing, copying, scanning, etc.
- Exhibits welcoming, professional communication via phone, e-mail, and mail.
- Maintains supply inventory by checking stock and placing orders.
- Tracks and manages client invoices.
- Participates in monthly staff meetings and records notes.
Hours & Benefits:
The part-time Administrative Intake Coordinator is expected to work approximately 24-25 hours weekly (Monday through Thursday/Friday). The Administrative Intake Coordinator will be paid on an hourly basis ($25-27/hour). The Administrative Intake Coordinator will receive four weeks of unpaid leave, earned sick and safe time per Minnesota state requirements, and the option to flex time for personal appointments. The Administrative Intake Coordinator will also be provided with a work-issued laptop computer, headset, and office space, and they may have the option to work from home some days during the week.
Skills and Qualifications:
- Clear and detailed administrative writing skills.
- Experience with Microsoft Office, Google Suite, and/or EHRs.
- Strong organizational and time management skills.
- Strong and professional interpersonal communication skills.
- Independent ability to manage workload and follow through on assigned tasks.
- Ability to connect well with school-age children, adolescents, and their parents.
Education and Experience Requirements:
- B.A. or equivalent education (degrees in psychology and/or education preferred).
- Prior administrative assistant experience.
- Knowledge of learning and attention disorders and/or experience within the psychology or educational fields.
- Prior experience using electronic medical records and Google Suite.
