Job description

The Department of OBGYN is seeking an Administrative Generalist to join our team in support of our expanding clinical, research, education and community missions. This full-time position is in-person and based in Charlottesville on the Grounds of the University of Virginia. Our growing department currently supports over 40 clinical faculty in clinical care across the State of Virginia, the 20 OBGYN Residents, 2 Fellowships, and Medical Student learners. This role offers variety, opportunity to engage in collaborative problem solving and welcomes initiative in execution of tasks. This position is available to individuals with various levels of degrees. Compensation for this role may be salaried or hourly and based upon years' relevant experience, qualifications, and education background. Annual compensation ranges from $52,000 - $72,000.
The position will have 2 primary support responsibilities; the Academic Specialists in General Obstetrics and Gynecology (ASGOG) division, Midwifery and Midlife Health Division. Secondly, the position would provide support to the Education team's work with the Residency and Fellowships. The position will initially report to the Department Administrator.
Collectively, the supported divisions are comprised of 16 physician faculty, 5 midwives, and 5 Advanced Practice Professionals (NP/PA). Key responsibilities include: management of web based scheduling system (Qgenda) including ensuring all clinical obligations are covered, collaboration with clinical operation staff as needed regarding clinics, coordination with outreach sites regarding coverage, and support of faculty leave processes. Faculty with administrative roles periodically require calendar management support in scheduling of meetings with various stakeholders. Support of recruitment activities including development of itineraries and guiding candidates is required periodically.
Support of the Education team will include learning software platforms required to collect and report data to the AGCME and internally to UVA. The role will leverage data from systems to assist Residency and Fellowship Directors in management of programs and reporting to the Chair/Department leadership. Additionally, during recruitment to Residency and Fellowship programs the role will support the Education Team's activities as directed by the Medical Education Programs Manager.
The position will have the opportunity to build reporting dashboards, implement operational decisions in the administrative/education space, and participate in development of new initiatives.
Administrative Generalists are responsible for a variety of professional level work across a composite of administrative service areas. They act on behalf of a program, function, or department, and may report to a unit administrator. Administrative Generalists are distinguished from Coordinators by the requirement for specialized education or experience to perform the essential functions of the job. The primary focus is on delivery of professional services, which may include project management, compliance, administrative program creation and oversight, training, analysis, and research and contract administration.

  • Perform a variety of professional and operational duties that facilitate the day-to-day operations of a program or department. Interpret departmental and divisional policies and procedures, making decisions on specific operating problems and issuing instructions in the name of the department or division head.
  • Operate with the authority to affect, interpret, or implement management policies or operating practices.
  • Advise department or division head and staff members on administrative problems. Compile reports and analyses setting forth progress, adverse trends and appropriate recommendations or conclusions.
  • Support business operations and strategic planning with analysis and recommendations based on data.
  • May be responsible for the administration of budgets and coordination of personnel matters. Control and maintain financial and personnel records of departmental or divisional contracts, sponsored programs and inform appropriate staff members of financial state of various projects.
  • Assist and advise department or division head and staff members of budgetary and related problems; prepare for approval by department or division head initial budgetary recommendations by considering past requirements and expenditures and present program plans.
  • Resolve problems that have a significant impact on the overall goals of the department. Represent department in meetings and serve on committees representing the interests of the department.
  • Administer programs, ensure ethical issues are communicated and resolved, and provide consultation for faculty and staff with unique situations.
  • Identify areas for additional funding and opportunities for improvements by conducting research, networking with colleagues, and designing and delivering recommendations.
Senior Administrative Coordinators typically perform operational support for a composite of several functions. Senior Administrative Coordinators operate with additional authority, independence, or level of complexity. They demonstrate understanding of the organizational culture and business drivers, and are able to anticipate team needs and expectations. They interpret policies and establish internal procedures across multiple functional areas, and perform work tasks independently with little supervision.
  • Perform a variety of duties requiring a broad understanding of organizational operations, procedures, and personnel.
  • Interpret and communicate departmental and divisional policies and procedures, making decisions on specific operating problems and issuing instructions.
  • Study reports received, check and compare with previous reports or other data, and bring to the attention of the supervisor significant items, changes, errors or omissions.
  • Maintain for the up-to-date management manuals, directives, organizational charts and keep the department informed of changes. Set up and maintain office files and keep correspondence and reports available for reference and efficient operation of the office.
  • Independently generate complex and detailed presentations and reports.
MINIMUM REQUIREMENTS
Administrative Generalist
Education: Bachelor's degree
Experience: At least three years of experience. Relevant experience may be considered in lieu of a degree.
Preferred Qualifications: Direct experience working within a clinical academic environment
Senior Administrative Coordinators (ACD_048)
Education: High School Diploma
Experience: Six years of experience, Bachelor's degree may substitute for experience
Preferred Qualifications: Direct experience working within a clinical academic environment

This position involves extensive use of desktop computers and a variety of software platforms. The job requires traversing the footprint of UVA Medical Center as needed as well as on occasionally traveling off-site for meetings.
