JOB DESCRIPTION: ADMINISTRATIVE ASSISTANT TO THE DIRECTOR OF STUDENT SERVICES AND SPECIAL EDUCATION
Qualifications: High School Diploma / Associate Degree Preferred
Knowledge of Microsoft Office Programs
Reports To: Director of Student Services and Special Education
General Description:
Perform a wide variety of tasks related to the administration of the
District’s Student Services and Special Education Department
Duties and Responsibilities:
- Able to effectively manage the use of IEP Direct web based database program (caseload, import/export files, manage/maintenance of assignments, generate reports, review IEPs for compliance, etc). Provide technical support to special educators as needed. Maintain student files. Data collection for monthly updates, organize manage materials for progress monitoring and /or annual report to SDE.
Compile information relating to IDEA or other grant-funded programs; maintain and prepare financial and statistical data; generate records and reports according to the required procedures and timelines; process state and federal forms pertinent to special education programs.
Generate and track purchase orders for education materials; nurses’ supplies and certifications; monitor expenditures; communicate with vendors regarding status of orders and prices. Maintain accurate and current budget documentation.
Prepare and maintain work agreements and contracted service agreements; process time cards and generate purchase orders. Maintain records of homebound tutoring services, hospitalized students and VLA students.
Assist with the coordination of summer school programs for special education students. This includes staffing, scheduling and transportation.
Coordinate transportation for in-district special education students, and others as requested.
Maintain and if necessary develop an inventory spreadsheet to keep track of special education assessments, equipment and materials within the district to be in compliance with IDEA regulations.
Provide telephone support to the office; troubleshoot questions and refer as necessary; schedule appointments for director; maintain the outlook calendar; communicate with school staff to answer questions and respond to needs.
