The Administration and Biostatistics, Epidemiology and Research Design (BERD) function of the Georgia Clinical & Translational Science Alliance (Georgia CTSA) are seeking an Administrative Assistant to support their initiatives. Occasional flexibility with schedule and travel to other Georgia CTSA sites (UGA, Georgia Tech, and Morehouse School of Medicine) may be required. 
 
Effort allocation will be 0.9 FTE with Administration reporting to the Georgia CTSA Executive Center Administrator and 0.1 FTE with BERD reporting to the BERD Director.   
 
Admin manages the efforts of 16 cores and functions across four institutions. Primary responsibilities will be meeting preparation and execution including scheduling, working with AV personnel, obtaining all required meeting materials, agenda development, and taking meeting minutes; ordering office supplies; web-site maintenance; assist with reporting requirements, assist with presentations, assist with research administration duties such as submitting journal transfers, expense reports, salary transfers, and requisitions and assist with other duties as needed.
 
BERD seeks to provide collaborative support in biostatistics, epidemiology & health economics to early-career researchers affiliated with Georgia CTSA, foster innovative analytical methods incorporating novel data sources, and provide education & training in biostatistics & epidemiology. Primary responsibilities will be planning and coordinating an annual BERD forum of up to 40 participants as well as supporting the director with reporting and presentation preparation. 
 
The Georgia CTSA begins its 16th year thanks to $73M in support over five years from the National Institutes of Health and our partner institutions to improve human health by transforming the research and training environment to enhance the efficiency and quality of clinical and translational research. The Georgia CTSA is one of 65 medical research institutions located throughout the nation.

 

 

JOB DESCRIPTION:

  • Provides administrative support for one of the following (or a combination): general management, a research environment or a specific program.
  • Ensures office activities comply with Emory policies and procedures. Responds to incoming telephone calls.
  • Maintains calendars and prioritizes meeting requests for management.
  • Reviews incoming correspondence and identifies items of special interest to management; handles routine correspondence and prepares appropriate responses.
  • May complete forms, grant applications, and/or correspondence associated with programs.
  • Prepares charts and graphs for reports and presentations.
  • Creates and edits scientific, programmatic or other reports associated with department's primary business.
  • Schedules meetings and handles logistics for meetings and special events.
  • Prepares materials for meetings and special events.
  • Initiates, processes, and maintains records and invoices.
  • Keeps management apprised of account status, identifies cost-effective solutions and may authorize expenditures.
  • May monitor or maintain budgets and grants, assist with budget development, and prepare related expense reports and reimbursements.
  • Plans and coordinates travel arrangements.
  • Maintains databases and spreadsheets; may also analyze data and design/generate associated reports.
  • Establishes and organizes filing systems.
  • Oversees ordering and maintenance of office supplies.
  • May supervise or direct the work of support staff and/or students.
  • Performs related responsibilities as required.

MINIMUM QUALIFICATIONS:

  • A high school diploma or equivalent and five years of clerical or secretarial experience, or a bachelor's degree.
  • Proficiency with various personal computer software applications. Positions in this classification may require keyboarding skills.

  • Excellent written and verbal communication skills
  • Strong event planning, coordination, and organizational skills
  • Demonstrated ability to multi-task and exceptional attention to detail
  • Ability to work well independently and collaborate effectively as part of a team
  • Strong problem-solving skills
  • Ability to thrive in very fast-paced environment
  • Proficiency in Microsoft Office Suite – Prefer Intermediate to Advanced skills with Excel, Word, PowerPoint, and Outlook.
  • Strong interpersonal skills and ability to interact with staff and faculty at all levels
  • Web content management experience helpful
  • Sensitive to confidential information
