The Position: The Administrative Assistant will provide administrative support to various departments within our facility. They will utilize their organization, communication and customer services skills to contribute to service excellence being displayed by our facility on a daily basis.
WHAT YOU’LL DO
Level I:
Perform clerical functions such as data entry, copying, compiling, sorting, and filing for the Human Resources Department, the EHS Department, and other departments as needed.
Perform reception duties while providing excellent customer service. These duties include answering and handling the facilities’ main telephone service.
Greeting visitors and guests, notifying personnel that their visitor/guest has arrived, directing them to their destination of their visit.
Overseeing the company’s Visitor and Guest Safety Procedures.
Performing Front Desk Activities such as providing copies of commonly used documents to employees as needed, acting as a main source of support for employees and guide employees in the proper channel of direction as needed.
Maintain Onboarding and Training documentation and assist in Orientation activities as needed.
Assist the Human Resource and EHS Departments (and other departments as necessary) with various projects, reports or duties as needed.
Utilize Microsoft Office (Microsoft Excel, Microsoft PowerPoint, etc.) to assist/complete various projects or duties.
Assist in Employee Engagement Activities, including the Community Involvement Committee.
Complete Filing for the Human Resource, EHS, and other Departments as necessary while maintaining confidentiality requirements.
Assist the EHS Department with completing various inspection requirements.
Participate in the company’s Behavior Based Safety (BBS) Program.
Complete projects and tasks as assigned by Human Resource Manager and/or other plant management.
Other duties as assigned.
Level II:
Higher degree of capability and proficiency in all aspects of performance as compared to an Administrative Assistant I.
Level III:
Higher degree of capability and proficiency in all aspects of performance as compared to an Administrative Assistant II.
YOUR SKILLS AND ABILITIES (REQUIRED QUALIFICATIONS)
Education: A High School Diploma or equivalent required.
Years of Experience: 1-3+ years of relevant work experience or equivalent combination of education and training.

Skills:
Highly effective time organizational skills to manage multiple tasks and adjust to the needs and requests for assistance for all departments.
Highly effective reception and telephone communication skills.
Proficient in Microsoft Office products, including advanced data functions in Excel.
Effective data entry skills that provides for accurate and timely information.
Excellent analytical skills; Ability to collect and analyze data and present findings.
Strong organizational skills and attention to detail.
Ability to effectively and efficiently use office equipment.
Ability to maintain strict confidentiality.
Strong customer service orientation and ability to maintain a professional, friendly demeanor.
Solid ability in identifying and resolving problems in a timely, effective manner.
Strong verbal, written and interpersonal skills.

Work Environment
Hours of work on site usually coincide with dayshift production hours. o Approximately 95% of time is spent in an office environment performing data entry, using office equipment, using the telephone, operating a computer.
Approximately 5% of time is spent in manufacturing environment walking throughout the plant performing various tasks.
Must dress and present oneself in a professional manner.
