Job description

The Program Assistant will provide overall administrative assistance to the Evidence for Action (E4A) National Program Office (NPO). E4A is a signature research funding program of the Robert Wood Johnson Foundation (RWJF). The program is dedicated to developing the evidence base to align with RWJF’s vision to build a Culture of Health by advancing action-oriented racial health equity research. The program aims to practice an approach that is intentionally antiracist, anticolonial, and focused on solutions that are innovative, push beyond the status quo, and focus on root causes.
The Program Assistant will be responsible for all programmatic administrative work, including scheduling and coordinating meeting arrangement, developing agendas and taking notes for meetings and convenings, booking travel arrangements, processing honoraria and reimbursements, and other logistical tasks. They will coordinate application and grant tracking and monitoring and provide basic applicant assistance. They will also provide logistical support to the program review committee and coordinate review committee member engagement with the NPO, as well as other administrative tasks as needed. Occasional travel (two to three trips per year) is anticipated.
The ideal candidate should demonstrate detailed knowledge and application of skills related to university administrative infrastructure, policies, and procedures (knowledge of RWJF policies is useful but not required). They should be able to solve complex administrative problems and exercise originality to develop methods or procedures to resolve recurring or unusual problems; coordinate complex scheduling and logistics for meetings, conferences, and events; prepare and edit correspondence for a variety of audiences; answer non-routine and sensitive inquiries in a professional manner; operate and maintain databases and software (experience with the SmartSheet platform is beneficial but not required); troubleshoot problems; and develop, recommend, and implement administrative processes.
This position requires someone with a collegial demeanor who enjoys working with people and strives to provide the highest standard of “customer service”. The person should be curious, able to ask questions, learn quickly, and subsequently apply an extensive understanding of the program and activities. Prior experience working in philanthropy could be valuable but is not required. They should be proactive, solutions oriented, and demonstrate flexibility. All E4A team members possess a deep commitment to equity and inclusion and to racial and indigenous justice, and we expect the candidate to share these values.
Covered under University series concept / job specification for classification 4722. Under general direction works on operational and/or procedural assignments that require the exercise of considerable discretion and independent judgment. Understands implications of work and makes recommendations for solutions. Determines methods and procedures on new assignments.
Annual Salary: $60K-$66K

Department Description

The Center for Health and Community (CHC) at UCSF aims to improve individual and population health through research and teaching addressing the social, behavioral and policy aspects of health and health care. CHC’s 200+ members represent both basic and applied social and behavioral scientists in epidemiology, health policy, anthropology, psychology, sociology, history, informatics, bioethics, economics, and clinical research. CHC researchers aim not only to improve overall health, but also to reduce disparities in health between more- and less-advantaged groups to achieve greater “health equity.” We bring a variety of theories and methods to bear on this problem. Work at the CHC includes lab-based basic studies of causal mechanisms, observational research linking social exposures to health outcomes, intervention research testing innovative approaches, implementation research to improve uptake of successful interventions, and dissemination of new knowledge and approaches.

Required Qualifications

  • High school graduation and four years of related administrative experience; or an equivalent combination of education and experience
  • Proficiency with Microsoft and Google platforms (especially email and documents);
  • Proficiency with Zoom platform
  • Proficiency with MyExpense, Bearbuy, Concur, and Connexxus

Preferred Qualifications

  • Prior experience working with UCSF purchasing, travel, and reimbursement systems (BearBuy, Conexxus, Concur);
  • Experience working with the SmartSheet platform;
