The Program Assistant will be responsible for all programmatic administrative work, including scheduling and coordinating meeting arrangement, developing agendas and taking notes for meetings and convenings, booking travel arrangements, processing honoraria and reimbursements, and other logistical tasks. They will coordinate application and grant tracking and monitoring and provide basic applicant assistance. They will also provide logistical support to the program review committee and coordinate review committee member engagement with the NPO, as well as other administrative tasks as needed. Occasional travel (two to three trips per year) is anticipated.
The ideal candidate should demonstrate detailed knowledge and application of skills related to university administrative infrastructure, policies, and procedures (knowledge of RWJF policies is useful but not required). They should be able to solve complex administrative problems and exercise originality to develop methods or procedures to resolve recurring or unusual problems; coordinate complex scheduling and logistics for meetings, conferences, and events; prepare and edit correspondence for a variety of audiences; answer non-routine and sensitive inquiries in a professional manner; operate and maintain databases and software (experience with the SmartSheet platform is beneficial but not required); troubleshoot problems; and develop, recommend, and implement administrative processes.
This position requires someone with a collegial demeanor who enjoys working with people and strives to provide the highest standard of “customer service”. The person should be curious, able to ask questions, learn quickly, and subsequently apply an extensive understanding of the program and activities. Prior experience working in philanthropy could be valuable but is not required. They should be proactive, solutions oriented, and demonstrate flexibility. Annual Salary: $60K-$66K
