About the role:
The Administrative Assistant in our Audit practice area plays an ESSENTIAL role in which dependability and a focus on impeccable accuracy are paramount to ensure clients and our management team is taken care of. The individual in this role provides a variety of administrative, project management, and other support services to executive management and other assigned staff. This individual will represent the executives when interfacing with external and internal clients, potential clients and vendors.
The Administrative Assistant will also serve as a facilitator to coordinate deadlines, resolving issues directly or through others, to ensure projects are completed in a timely manner in high pressure situations. Work hours will need to be adapted and/or extended to meet project deadlines. We are looking for someone who is adaptable, can anticipate roadblocks, is very reliable, will take initiative, and will execute on tasks with a high level of efficiency.
Responsibilities:
- Proactively support multiple executives and managerial firm administrators with day-to-day needs and special projects.
- Coordinate partner, director, and manager calendars, correspondence, remote and in-person meetings, travel arrangements, and expense reporting.
- Proofread and prepare final versions of financial statements and related reports using Excel, Word, Adobe, and industry specific software.
- Budgeting for Practice Area and Industry Group.
- Reporting - Develop, implement, and analyze monthly and weekly reports for staff production and billable hours, time entry, and client information.
- Prepare letters, memos, emails, and other written correspondence – grammar, spelling, and word processing.
- Respond to client inquiries and requests made via phone, email, and physical mail.
- Plan and execute department and firm-wide and external events and meetings.
- Prepare agendas and take comprehensive meeting minutes.
- Proposal creation and drafting.
- Invoicing and billing as per monthly procedures and need.
- Manage yearly compliance projects, which requires a high level of attention to detail, confidentiality, and being willing to say no if policy requires.
- Plan and execute events for both Squire employees and clients.
Critical Skills/Qualifications:
- Excellent communication skills, both written and verbal; clear communication on time frames and task lists
- Experience balancing priorities of a diverse team of various management levels and styles, while insuring that proper polices, regulations, and procedures are followed to the letter
- Agenda preparing and minute taking in team meetings and meetings with clients
- Knowledge of general office practices, procedures, software and equipment; ability to learn several new computer programs quickly
- A service oriented mindset and willingness to go above and beyond to take care of clients
- Excellent customer service skills and the ability to establish and maintain effective working relationships with employees, clients, and the public
- Associate degree preferred, but some formal education plus on the job experience is acceptable
- Must have a high level of proficiency with Microsoft Office tools
- Administrative experience and/or experience supporting executive leadership: 2 years
