Summary

Maranatha Christian Academy (MCA) is a private school serving Grades Pre-kindergarten through 12 in Brooklyn Park, MN.We are an influential school of collaborators, innovators, and explorers grounded in Christian faith empowering co-creators of tomorrow.

The HR Manager and Operations Executive Assistant will work with a collaborative team and is responsible for managing the human resources functions for the academy and assists and informs the school's Chief Business and Operations Officer (CBOO) of various non-academic operations.

Essential Duties and Responsibilities include the following, but other duties may be assigned.

  • Manages the staffing process, interviewing, hiring, onboarding, and hiring documentation for the academy
  • Maintains the academy's job descriptions and requests updates as staff turns over.
  • Creates all job postings in HRIS, EdPost, Handshake, Simplicity, College Network
  • Human Resources/Payroll Liaison with LWCC Human Resources/Payroll
  • Big5, FACTS, and Time Clock Plus Manager for all MCA employees
  • Manager of HRIS functions for MCA

- Data Entry, Tracking, Hiring, Document Distribution, Performance Tools, PTO, etc.

  • PTO Manager in HRIS, Outlook, and Absence Management System
  • Ensures all company HR policies are applied/followed consistently.
  • Maintains the academy's organizational charts
  • Prepare and maintain all hard copy personnel files.
  • Manages, compiles, and distributes the Annual Intent to Return report to administration.
  • Runs/sends payroll/ESST report from Absence Management Software to LW payroll for processing each payroll period.
  • Requisition supplies, payments, building projects, memberships, furniture, fixtures, and equipment for the operation of the school via vendors and purchasing software.
  • Submits operation requests for building and HVAC maintenance at the direction of the CBOO
  • Manager, proofer, purchaser, and distributor of MCA's Staff & Faculty and Parent/Student manuals.
  • Manager, proofer, purchaser, and distributor of Substitute Teachers' manual
  • Manager, proofer, and distributor of Crisis Manual
  • Performs audit of personnel files annually and ensures transcripts are obtained.
  • Process, monitor, and record background checks per the 3-year cycle for the academy.
  • Updates and prepares teaching agreements and letters of agreement templates, etc., in HRIS and sends/receives annually in collaboration with CBOO
  • Prepares authorizations for payment of academic and athletic coach stipends and sends to payroll
  • Prepare, collect, and track receipt of spiritual assessments (Fall, Spring)
  • Serve as co-administrator for staff FACTS Security issues.
  • Copier manager for supplies, service, and maintenance requests.
  • Administrator of Frontline Absence Management Software

-Solve campus user problems, provide security rights, enters new substitutes and employees, emails access link & training videos

  • Assist CBOO in following the records retention schedule

Administrative responsibilities

  • Manage the CBOO calendar as needed
  • Meet with CBSO to maintain communications and work cohesively to meet objectives.
  • Prepare emails/memos on behalf of CBOO to non-instructional staff regarding schedules (i.e., summer vacation, holiday breaks, etc.); maintain and distribute
  • Maintain MCA Email Distribution Lists via MCA's IT ticket system
  • Account Manager for PDFFiller
  • Update school forms for student absence, background check authorization, and admission visitor release.
  • Other Forms Management (hardcopy) include student accident reports, spiritual assessments, and continuing education clock hour forms.
  • Accreditation organizer with Head of School Executive Assistant
  • Attend training at ICAA
  • Set up document storage with IT for the accreditation cycle
  • Other duties as assigned,

Education and/or Experience: Bachelor's degree in business administration or human resources or 3-5 years of equivalent experience.

Language Skills

Ability to read, analyze, and interpret financial reports and legal documents. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from administration, instructional staff, teachers, and students. Strong grammar, proofreading, and editorial skills.


Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.


Computer Skills

To perform this job successfully, an individual should have experience with HRIS software, database software, Internet software, and order processing systems. Intermediate skills are needed for spreadsheet software and word processing software.
