This Administrative and Financial Aid Coordinator in Student Financial Services (SFS) provides Administrative and operational support to the AVP and Director of SFS, the Deputy Director of SFS, as well as administrative support to all staff in SFS. This position plays an important role in student recruitment through regular interaction with parents and students as they work with SFS, through management of SFS’s community outreach program, and through special project assistance to support service to students and families as assigned by the AVP/Director or the Deputy Director. Position supports Financial Aid processing through completion of various Financial Aid related tasks. Position provides backup non-public Sumers Welcome Center facility management.Job Description
Primary Duties & Responsibilities
- Serves as the primary coordinator of the AVP/Director and the Deputy Director’s complex calendars and schedules. Makes sure identified priorities are addressed in a timely fashion helping to ensure optimum utilization of their time. Plans and organizes meetings chaired by AVP/Director or Deputy Director, including weekly leadership and periodic team meetings. Organizes records and materials necessary for preparation for meetings, taking of notes, and assisting with follow up after meetings. Assists with special projects for the SFS team as needed.
- Manages SFS office needs including computer maintenance, software upgrades, electronic security, conference room management, space utilization, and travel coordination. Provides coordination and support of SFS led training events.
- Completes aid-related “tasks” in support of recruitment and aid renewal based on point in annual cycle. Tasks may include processing documents, data entry, following up with students and families via multiple communication means, and other routine aid tasks.
- Manages SFS’s community outreach program by communicating directly with local high school counselors to schedule presentations and working with SFS counselors to ensure we have someone available for these (mostly) evening activities. Supports community outreach such as proactive support in updating and organizing PowerPoint and other presentations in support of community outreach. Supports other SFS-delivered presentations and content.
- Serves as the SFS point person and day-to-day supervisor to any work study students or interns working in SFS. Works with SFS staff to identify and understand projects for student workers and ensures student workers are making progress toward project completion. Oversees schedules for student workers.
- Manages, updates, and maintains departmental payroll records. Processes monthly and bi-weekly payroll, oversees personnel recruitment process. Assists with departmental budget and projections and oversees departmental accounts payable.
- Performs other duties as assigned.
Working Conditions
The position is located in an open office environment and at a minimum, the Administrative and Financial Aid Coordinator will work in-person 4 days per week. As conditions merit, this position may be required to work remotely. There is some lifting of materials. Ability to occasionally work outside of normal business hours in support of SFS and St. Louis area high schools.
Preferred Qualifications
- Five years of relevant experience
- Expertise with Microsoft Office, including Microsoft Word, Excel, and PowerPoint.
- Experience in a Financial Aid or student support office.
- Bachelor’s degree.
- Experience with HR or budget functions.
- Familiarity with specialized computer programs is helpful.
- Highly organized and experienced in managing multiple projects simultaneously and meeting deadlines.
- Excellent time management.
- Excellent oral and written communication skills.
- Ability to handle highly confidential information.
- Ability to anticipate problems and obstacles and develop safeguards.
- Ability to adjust to abrupt changes in priorities and strategies.
- Highly developed and demonstrated people skills for working with parents, students, internal and external contacts.
- Flexible and technically capable of using office product technology and software including advanced skills in Microsoft Office.
Required Qualifications
- High school diploma or equivalent high school certification.
- Three years of relevant experience.

$20.76 - $32.21 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University.
