POSITION SUMMARY
The Admin Support Specialist performs general administrative tasks, supports the billing function and ensures the friendly reception of office guests.

Essential Functions Statement(s)
Administrative Support
Greets and welcomes office guests.Answers, screens and routes inbound phone calls to staff members.3. Takes and e-mail’s messages to staff members; checks and forwards faxes to staff.4. Opens and distributes office mail; receives and ships packages.5. Adds and removes employee information in the phone management system.6. Manages inventory of office equipment and keys; distributes office equipment and keyswhen necessary.7. Completes requests for information such as mail and emailing marketing materials to staff.8. Keeps Partners module updated.9. Assists HR by emailing received documents; runs and shares reports for disability determinations.10. Follows up on outstanding issues involving clients, vendors or other issues.11. Maintains and cleans office breakroom and common areas.12. Assists staff members and clients as needed.13. Completes assigned projects in a timely manner.14. Completes related tasks as directed.Billing Support
- Receives billing authorizations from Vocational Rehabilitation Counselors; stamps authorizations with a signature; mails authorizations back to the Vocational Rehabilitation Office for payment.?
- Enters billing authorization sent dates in the CRM.
- Performs OJT reimbursement collections tasks as necessary.
- Sends email communications to request payment of Vocational Rehabilitations Counselors with outstanding OJT?authorizations?over 60 days.
- Fields calls and emails from Vocational Rehabilitation Counselors and staff in regards to outstanding collections.
- Resends documentation to Vocational Rehabilitation staff as requested.
- Documents when the authorization is request is sent and when the authorization is received in the CRM.
- Completes special projects as assigned.
- Completes other related tasks as assigned.

SKILLS & ABILITIES
Education: High School Diploma or equivalent required.
Experience: Minimum of one-year administrative experience.
Computer Skills: Proficient with Microsoft Suite, Adobe and web-based database
systems; CRM experience preferred.
Other Requirements:
- Ability to follow accurate directions.
- Must have own computer, printer, smartphone with data plan and high-speed internet connection.
Supervision: No supervisory responsibilities.
Travel: No travel required.
