This position will provide administrative assistance for the Iowa Blueprint for Change (IBC) with intermittent support for other projects within Center for Disabilities and Development's (CDD) and University Center for Excellence on Disabilities (UCEDD). Duties will include arranging meetings and recording minutes, managing financial transactions and processes, and assisting with the day-to-day execution of IBC and UCEDD projects. This is a specified term position with funding through 9/30/24 with strong likelihood of renewal.
This position is eligible for a combination of remote work and in-person (hybrid) work (after initial training period) within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.
- Provides administrative support to the IBC team, including managing complex calendars, coordinating travel arrangements, process reimbursements, order supplies, etc.)
- Coordinates office processes and procedures for the IBC.
- Serves as liaison for the IBC Program Manager and program by communicating and corresponding with and representing the IBC to community and state partners and stakeholders.
- Responds to requests for information.
- Plans and manages meetings and events, including meetings with internal and external partners and formal awards ceremonies.
- Responsible for set up and recording of meeting minutes as required.
- Coordinates mailing lists and support newsletter distribution.
- Supports IBC staff in communicating key HR compliances, activities, etc.
- May initiate transactions under the direction of the Program Manager.
- Works with Human Resources and Program Manager to ensure University and program guidelines and rules are followed.
- Creates and oversee workflow-related functions, including purchase transactions, e-vouchers, p-reqs and travel vouchers for grants/contracts and UCEDD staff members.
- Oversees and make travel arrangements for IBC staff members.
- Processes stipends and reimbursements for individuals providing training, serving on taskforces participating in training programs and other functions.
- May assist in the coordination of strategic plans in support of IBC, UCEDD and CDD.
- Actively engages with IBC team in the planning and required reporting.
- Assists in the preparation of grant reports, competitive grant applications and continuation applications. Proofreads and performs complex formatting and editing.
- Queries and manages data for project reports and project applications.
- Generates standard reports and create customized reports.
- Supports team in facilitating communication between various stakeholders including Steering Committee, Collective and Backbone team.
- Assists in creation and dissemination of materials through an array of channels.
- Assure materials meet accessibility requirements.
Required Qualifications:
- A Bachelor's Degree in related field or equivalent combination of experience and education.
- Minimum 6 -12 months experience providing administrative support.
- Excellent written and verbal communication skills, positive interpersonal skills and ability to work as a member of teams and work groups.
Desired Qualifications:
- Experience with accounting processes, budgets and productivity data.
- Experience in program/service development or quality improvement projects.
- Knowledge of University and UIHC policies, procedures and regulations.
