SalaryVirtual OfficeWare Healthcare Solutions is looking for an experienced Invoicing Specialist to provide support to our Finance department.. The preferred candidate should have extensive knowledge of invoicing, sales tax and contract experience.
This is a hybrid job with 1 day, per week, in the office.
Duties/Responsibilities of Position
- Prepare invoices for customer’s based on signed sales orders/contracts execution
- Update and/or create customer agreements for executed sales orders/contracts for recurring fees
- Prepare misc. invoices for customers as needed such as for billable travel expenses
- Prepare monthly and annual invoices for customers based on agreements
- Prepare monthly invoicing for per transaction and collection invoicing based on vendor bills
- Analyze bills received by vendors vs. VOW invoice to customers
- Sales tax calculations and returns are outsourced, however, you will assist with monthly sales tax reconciliations as well as ensuring new states are properly set up with sales tax vendor
- Assist with the preparation of monthly close journal entries and balance sheet reconciliations
- Prepare customer credit memos in accordance with firm policy and deliver to Director of Finance for approval
- Prepare weekly A/R flash sheet with relevant data as requested by Director of Finance
- Prepare monthly/quarterly/annual consolidated financial statements
- Assist with annual audit by preparing assigned reports or providing documentation as directed by Director Finance and/or their delegate
- Will occasionally need to take customers calls and/or tickets regarding invoices when AR specialist is unavailable
- Review monthly commission calculations for sales department
- Will be trained on additional finance department duties as deemed necessary by the Director of Finance
Qualifications
- Excellent attention to detail
- Works well in a team environment
- Proficient in Excel
- Previous Accounting experience preferred
- Associates required; Bachelor’s degree preferred
- Two or more years related experience and/or training required
Preferences
- Experience using QuickBooks
- Experience with ConnectWise
