Job Summary
The Accounts Payable Clerk is responsible for auditing and preparing vendor invoices for payment processing. This position works with University staff and vendors to obtain all needed information and reconciles vendor accounts to ensure timely payments.
Primary Duties and Responsibilities
- Maintains a portion of the University's mechanized accounting records by posting transactions and invoices and reconciling errors manually in the accounting system.
- Audits invoices for processing payments by performing necessary tasks such as ensuring there are no duplicate payments, ensuring the purchase order and invoice have the same vendor name and are billed to USM, obtaining approval from departments, checking to see if merchandise has been received, contacting vendors when additional information is needed, and coding vouchers correctly for 1099 MISC forms sent to vendors.
- Assists in processing 'stop payments' and reissuing of checks when necessary, checks monthly vendor statements, and maintains spreadsheets with account information.
- Provides the campus community with guidelines, instruction, and assists them with procedures necessary to ensure that all information is provided to pay vendors in a timely fashion. Also, provides technical assistance to other staff inside and outside the section regarding accounting policies and procedures. Assists vendors with payment questions, and performs other duties as assigned.
