Job description

This role will require daily management of customer invoicing, general accounting, and office tasks. Projects and assignments will be given to you that focus on the accounting, finance, and operational elements of our current and future supply chains.

Primary roles and responsibilities of the position are outlined below:*

  • Ensure timely and accurate processing of accounts payable; receive, verify, and post accounts payable invoices into accounting system
  • Follow up on account statements and other discrepancies regarding payment of accounts; serve as liaison between departments and vendors in the resolution of administrative problems and inquiries
  • Accounts receivable; ensuring timely processing and billing of orders
  • Monitor freight bills for delivery orders
  • Remind customers to pick up orders at the warehouses if needed
  • Run aging reports weekly and collect payments
  • Get mail from the post office
  • Reconcile and compare inventory counts in QuickBooks and warehouses
  • Inventory Control
  • Accurately controls and tracks physical inventory.
  • Maintains status of orders through entire process.
  • Participates in inventory process and daily audits; researches and resolves inventory discrepancies.
  • Maintains and manages accurate records of quantity, type, and value of material, equipment, merchandise, and/or supplies stocked.
  • Maintains records of all shipments and receipts
  • Maintains open order and purchase order list in database.
  • Maintains and oversees inventory database
  • Perform general clerical duties including but not limited to answering phone, filing, photocopying, faxing, typing, ordering office supplies and mailing
  • Maintain accounting department files and records
  • Assist with special projects as needed

  • Familiar with QuickBooks and excel.
  • Education, Experience and Certifications:
  • One to two years related experience or equivalent.
  • This position will require the individual hired to be able to manage multiple tasks and projects at the same time and demand strong communication skills as this role will be engaged with multiple team leaders throughout different departments within the company.

Other duties will be assigned as needed. This is not a complete list of required tasks, but a guideline as to daily tasks and responsibilities.
