Health Care Accounting Manager
Accounting Managerwill assist in the oversite of the business office operations of Choices Women's Medical Center and Comprehensive Medical Care. The scope of responsibility includes but is not limited to: General Ledger maintenance and oversite, journal entries, account reconciliation and analysis, cash management, accounts payable management, payroll preparation, deposit reporting, banking functions and other tasks as required. Accounting Manager reports directly to the CFO.
RESPONSIBILITIES:
1. Perform regular account reconciliations and create corresponding analysis/schedules for review with CFO to discuss adjustments as needed.
2. Participate in month end and year end close process as well as preparation of supporting workpapers for communications with outside auditors.
3. Assist CFO with preparation of financial statements including monthly and quarterly budget vs. actual account analysis.
4. Coordinate with staff accountant the necessary journal entries to ensure the proper recording of all intercompany transactions.
5. Responsible for the timely and accurate processing of accounts payable. This will include controlling invoice intake, obtaining departmental approvals, assigning appropriate expense codes, posting and scanning of invoices to Quickbooks, and processing weekly check run.
6. Responsible for prioritizing vendor payments in accordance with vendor contract terms and cashflow availability.
7. Responsible for reviewing and maintaining AP Aging report, reconciling vendor accounts, and maintaining vendor relationships.
8. Issue year end 1099s
9. Responsible for creating and monitoring on-line banking transactions (wire transfer, ACH, ect) for multiple operating accounts, resolving banking issues, processing interbank transfers, and providing senior management with daily cash balance reports.
10. Responsible for receiving, recording and deposit of patient payments (cash and credit card) and other receipts as well as preparing patient refunds as needed.
11. Responsible for processing and transmitting bi-weekly payroll information to ADP for staff of 60. Collect and review employee timecards to ensure accuracy and coordinate manager approvals. Process employee PTO- paid time off.
12. Responsible for preparation of bi-weekly Executive Payroll summary reports including period-to-period trend analysis and explanations for hours/wages variances.
13. Remit bi-weekly federal and state payroll taxes.
14. Timely complete and submit 940 and 941 filings.
15. Review W-2s
16. Responsible for maintaining the impress petty cash and ensuring proper use.
17. Assist with ad-hoc reporting and special projects as assigned by senior management.
QUALIFICATIONS:
1. Bachelor's degree in Business Management with a concentration in Accounting or Finance is required.
2. Minimum of five years' business office experience required.
3. Minimum of three years’ experience in General Accounting, Accounts Payable, and Payroll required.
4. Proficiency in MS Word and MS Excel required.
5. Experience with ADP payroll required.
6. Proficiency in Quickbooks a must.
7. Experience with intercompany transactions preferred.
8. Experience with medical billing and reimbursement a plus.
9. Supervisory experience a plus.
10. Experience in a medical office or ambulatory healthcare setting a plus.
