We are a small specialty food manufacturer and retailer looking to hire an experienced and motivated Accounting & HR Manager (Part-Time) to oversee, maintain and improve our accounting and HR processes and systems. JOB DESCRIPTION

Duties & Responsibilitie

Accounting/Bookkeeping

o Running weekly payroll using time clock data

o Posting of daily and weekly sales (retail stores, online, wholesale, corporate)

o Updating of weekly sales & hours reports in Excel

o Ensuring cash availability for retail operations and making frequent deposits

o Weekly and monthly reconciliation of bank transactions and statements

o Matching purchase orders with A/P invoices; investigation of discrepancies

o Entering payables and running bi-weekly A/P report and check run

o Monitoring receivables and sending out statements of account

o Collecting current and past due A/R balances

o Setting up and maintaining inventory control systems

o Organizing and conducting quarterly physical inventory counts; valuation of inventory

o Filling out and submitting regulatory and government forms and reports as needed

o Assisting with the preparation of monthly financial statements (P&L, balance sheet)

o Analyzing and reviewing monthly financial statements

o Keeping track of fixed assets and sharing information with CPA at year-end

o Assisting with the preparation of year-end financial statements

o Assisting with the creation of monthly and quarterly budget

o Interacting with outside senior accountant, and CPA on higher level accounting and tax issues, such as monthly financial statements, depreciations, tax calculations, year-end adjustments, etc.

Human Resources

o Assisting managers with creating/updating job descriptions

o Creating and placing employment ads

o Overseeing employee recruitment and selection process

o Onboarding and orientation of new employees

o Helping managers to specify training programs

o Managing the company’s review system and conducting appraisal meetings with managers

o Monitoring various aspects of employees’ job performance, including attendance

o Assisting with creating and posting of weekly staffing schedules as needed

o Support of management team in all HR matters; assisting with disciplinary issues

o Periodic reviews and updates of company’s employee handbook and HR policies

o Ensuring that policies and procedures comply with employment laws and regulations

o Organizing all HR files and records (electronically stored, and paper files)

o Reviewing HR related processes and systems; suggesting and implementing improvements

o Together with managers, conducting frequent check-ins with all staff

o Managing and administering all payroll and employee benefits (PTO, health insurance, profit sharing plan, discretional bonus plans, etc.)

o Interacting with outside parties (government, benefit brokers, payroll service, sr. accountant, CPA)

o Suggesting ideas that help to improve employee satisfaction, company morale and retention

o Handling of all payroll taxes and preparing and submitting quarterly/annual payroll tax returns

o Ensuring all tax/legal compliance and reporting

o Maintaining and updating all paper and electronic HR files

Office & Administrative Support

o Organizing, maintaining, and improving all paper and electronic filing systems

o Creating reports for managers, employees and departments as needed

o Helping company to be better organized and improve operational efficiencies

o Administration of all insurance policies, workman’s comp, and related claims

o Filling out and submitting any government and non-government paperwork as needed

o Handling of incoming mail

o Other duties as assigned from time to time

- Trustworthy and motivated professional with experience in Accounting & human resource management

- Experience in manufacturing and/or retail in a small company environment is a plus

- Eagerness and desire to help a small business improve and grow; not afraid to take initiative

- Ability to be accessible to all co-workers in order to provide timely and friendly support

- Hands-on and support-oriented leader with strong initiative and excellent work ethics

- Self-motivated team player, not afraid of wearing many different hats

- Excellent communication, organizational and analytical skills

- Strong technology/computer skills; proficiency in Quickbooks (QBO) and all Microsoft Office applications

- Experience with Gusto payroll/HR platform and Square POS is a plus

- Degree in business, accounting or similar and a minimum of 5 years of experience is desired

- Must be flexible with work schedule; depending on time of the year, workload can vary (more hours are required in winter, and less in summer)

Job Type: Part-time

Pay: $25.00 - $35.00 per hour

Expected hours: 24 – 32 per week
