New Horizons in Autism, Inc. (NHIA) is looking for an energetic, compassionate Accounting Assistant who is dedicated to making a positive impact in the lives of the individuals we support.
Title:Accounting Assistant
Qualifications:
- Education: Associates Degree in Accounting, Accounting Certificate, or desire to obtain one preferred.
- Experience: Minimum 6 months experience preferred in a nonprofit organization, including data entry.
Requirements:
Employment is contingent on clearing the state required criminal background check, central registry, child abuse registry, and drug testing.
Position Overview:
This position reports directly to the Senior Accountant. It is a full-time position that requires in-office attendance, 40 hours per week. Candidate must be familiar with QBO, Excel, WORD, and Outlook Software.
Primary Responsibilities:
- The Accounting Assistant is responsible for completing tasks assigned to them by the Senior Accountant. (For example but not limited to invoice reconciliations.)
- The Accounting Assistant is responsible for inputting PEX and AMEX expenses into QBO and collecting PEX and AMEX monthly receipts and logs on a timely basis.
Secondary Responsibilities:
Become familiar with the following Senior Accountant tasks.
1. Analyze incoming invoices for mathematical accuracy, ensure sales taxes have not been assessed, and proper approval(s) have been received before processing payment. Must code
invoices according to their related program and allocate across multiple programs, if necessary, before inputting into QBO.
2. Prepare checks for related invoices so that the Executive Director can sign them on a weekly basis.
3. Process monthly Contribution to Care invoice and School District invoices for payment and mail out to the recipients.
4. Deposit Contribution to Care, School District, Donation and Fund Fundraising checks and then record these transactions into QBO.
5. Review vouchers, invoices, purchase requisitions, and credit card receipts and logs. Then allocate and record these transactions into QBO.
6. Support month-end and year-end close process.
7. Ensure quality control over financial transactions and financial reporting. Again, accuracy is imperative.
8. Answers all vendor inquiries and contact vendors if the need arises to address incorrect or double billing.
9. Must have a basic knowledge of accounting principles and procedures.
10. Must have accounting software user and administration skills.
11. Must perform additional accounting duties as necessary.
12. Insure that bank deposits are accurately entered in QBO, signed off by the Director of Finance and that the copy of deposit transaction is filed.
13. Periodically, review online banking statements to ensure financial accuracy and ensure that if any problems are identified they are immediately reported to the Director of Finance so that the problem can be remedied.
14. Must ensure all invoices are kept organized and readily available for the annual year-end audit review by our external accounting firm.
15. Must be able to ensure that the organization’s vendors list is updated monthly (Via Verisys) and email to Human Resources Dept.
16. Make sure each new vendor completes a W-9 form and input their EIN into our QBO system.
17. Aid the Senior Accountant in issuing Form 1099-MISC and NECs by the end of January to all of our vendors that have received payments in excess of $600 for the calendar year.
18. Be aware of and practice agency philosophy and agency policies and procedures during your employment and support all of the organization’s business endeavors.
19. Exercise due diligence in concert with that of the Director of Finance and the Executive Director to detect, communicate and hopefully prevent any misconduct and wrongdoing. Undertake all reasonable steps to respond appropriately when an offense is detected to prevent future offenses.
20. At all times act in a professional manner.
21. At all times, maintain the confidentiality of all business matters related to New Horizons in Autism, Inc.
22. Adhere to the organizations policies and procedures outlines in our Employee’s Handbook.
23. At all times, adhere to the organizations code of ethics.
24. Initiates, incorporates, and participates in making improvement to one’s job or department either individually or in-group efforts.
25. Must be sure that the facility requirements for building maintenance and program security are always followed.
26. The Accounting Assistant will adhere to the attendance policy. When one is going to be late or tardy, they must contact their immediate supervisor. This contact cannot be made via the voicemail system they must speak directly to a supervisor.
27. All staff must adhere to the protocols established to prevent violence in the workplace written policy.

All NHIA staff will be required to cooperate with the licensee, Department of Human Service (DHS) staff in any inspection or investigation. All NHIA staff must also work in collaboration with NHIA’s fact-finding internal investigators.
