Monthly
- Bank Reconciliations: Operating and Security Deposit
- Maintain prepaid/accrued expense schedules for at least taxes and insurance, but also for larger expenses
- Process management fees in AppFolio
- Monthly mortgage payment entries
- Close Accounting Periods
- Loading third party managed financials into AppFolio monthly
- Payments/wires outside of AppFolio (GC’s, management fees, etc.)
- Create schedules for tracking of recurring vendors and contracts
Weekly/Ongoing/Special Projects
- Maintain all vendor information within AppFolio
- W9s, COIs, New Vendor Form, Check vs. ACH
- Cut checks weekly
- Add new vendors to AppFolio
- Send invoices to AppFolio
- Identify areas of improvement in process within AppFolio (and outside of it, in some cases). Research and present solutions for areas of inefficiency
- Vendor management. Maintain online portals where needed. Handle shutoff notices, change of information, etc.
- Special projects as assigned, hopefully for growth
- Assist with ADP/payroll
- Assist with onboarding new sites into AppFolio
Annual
- Complete year-end close out in AppFolio
- Assist with W2 and 1099 distribution
- Assist with CPA items needed.
- Post adjusting journal entries
- Income/Expense Forms for Cities/Towns, Personal Property Declarations
Other/Possible Future
- Assist with acquisition/disposition
- Improve chart of accounts in AppFolio
- Customized reporting in AppFolio tailored to owners or investors
- Assist with investor management platform
