Job Summary:
The Account Coordinator collaborates closely with the Producers and Account Management Team to coordinate the service and placement of employee benefits for clients and prospects.
Primary Duties and Responsibilities:
The duties listed below are some of the duties that may be assigned and may not include all responsibilities that the person in this role may be asked to perform. - Develop and maintain all census data on renewal and prospect groups.
- Source & confirm accuracy of all information needed to submit Request for Proposals (RFP) to carrier markets. This includes claims history (on large groups) and current plan information (plan design & rates) on the group.
- Build “market checklist” with account management team and/or Producer to determine correct carrier markets to be shipped on a given line of coverage.
- Submit all RFP information to markets as selected by account management team/Producers.
- Begin quoting renewal groups 90 days prior to renewal date.
- Quote prospective groups as information is available from the Producer.
- Manage 180 day rolling renewal list in CRM to ensure that all current client renewals are received in a timely fashion.
- Upon receipt of quotes from markets, maintain quote information and deliver quote information to account management team and Producers to ensure appropriate internal communication.
- Upon receipt of quotes, use “best judgement” based upon market knowledge to determine whether additional plan designs or carriers should be quoted.
- Maintain Renewal/Prospect status reports (Teams) for usage in biweekly account management calls, including Account Name, Renewal Dates, and any appropriate notes.
- Maintain current list of all carrier contacts, contact information and avenue for RFP submissions (online, hard copy, email, etc.).
- Cross-train for customer service functions to support account management team as time allows.
- Assist account management team in processing client’s employee applications and eligibility maintenance as needed.
- Perform other task as assigned by management.
- Responsible for updating CRM with spreadsheets prepared for prospects and clients.

Education Required for this Job:
- Bachelor’s degree in Human Resources, Business Administration, or related field required
Attendance Requirements:
- Daily attendance is required during normal business working hours
- In-person and/or hybrid attendance occasionally required for company, client and/or team meetings
- The Company reserves the right to require in-person attendance at the Company’s worksite at any time. The Company also reserves the right to make full-time attendance at the Company’s worksite an essential job function for this position if attendance becomes necessary to increase productivity, to develop teamwork, to conduct training, to better address customer needs, or to accomplish any other valid business goal. If full-time attendance requirements for this position materially change, the Company will provide thirty (30) days’ prior notice of the change.
Position Type/Expected Hours of Work:
- This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.
- Core business hours are 8:00 a.m. to 5:00 p.m. but the employee’s schedules are at the discretion of the supervisor and dependent on the needs of the business.
Travel:
- Travel is primarily local during the business day, although some out of area and overnight travel may be expected
