Student Services Administrative Assistant
240 day Contract
QUALIFICATIONS: High School Diploma; Reasonable degree of proficiency in typing; Working knowledge of basic office procedures and the operation of common office equipment
PERFORMANCE RESPONSIBILITIES:
PHYSICAL DEMANDS:
Ability to lift up to 10 pounds frequently.
Ability to routinely and continually bend, squat, stand, walk, or climb stairs.
Ability to operate computers, copy machines, and other office machines as needed.
EVALUATION:
Performance of this job will be evaluated annually by the Executive Director of Student Services.
Student Services Administrative Assistant
240 day Contract
QUALIFICATIONS: High School Diploma; Reasonable degree of proficiency in typing; Working knowledge of basic office procedures and the operation of common office equipment
PERFORMANCE RESPONSIBILITIES:
- Performs and supervises the usual office routines and practices associated with a productive and smoothly run office.
- Obtains, gathers and organizes pertinent data as needed and puts it into usable form.
- Performs any bookkeeping tasks associated with the position.
- Assists teachers in obtaining confidential student records, supplies, and necessary equipment.
- Makes arrangements for conferences and meetings.
- Coordinates inner office telephone and office requests.
- Coordinates appointments of the Executive Director of Student Services and Assistant Director of Special Services.
- Types and prepares for mailing all reports that are from the Student Services Department.
- Maintains confidential student records as shall be required for the District Data Profile, State Department of Education and Special Education Automation Software Program.
- Maintains (confidential and original) scanned filing system for special education students' files.
- Complies, organizes and maintains "504" students
- Fax or mail student records as requested by outside districts and districts out of state.
- Maintains current special education child count information.
- Updates school sites with special education student data on a daily basis.
- Coordinates contracts for homebound/homebased teachers and processes mileage.
- Compiles, organizes, and maintains records and files on students attending Bronco Academy and Pass B programs and Mustang Treatment Center participants.
- Complies, organizes, and maintains homebound/home-based students' records and files.
- Maintains confidential records of DHS referrals.
- Organizes and processes invoices for all contract employees under Student Services.
- Completes all purchase orders, collects invoices, and processes payments for Student Services.
- Compiles and maintains records of staff who have completed CPR and CPI certifications.
- Maintains all data regarding special education Paraprofessionals.
- Maintains confidentiality.
- Abides by all district policies and state and federal laws.
- Performs such other tasks and assumes such other responsibilities as the Director of Student Services may assign.
