About the role
We're seeking a team-oriented and responsible Workplace Experience Associate to join our growing organization! In this position, you will coordinate overall logistics and generally keep the office organized, tidy, and running smoothly. The Workplace Experience Associate partners with the People team to maintain processes and programs that foster company culture and help drive employee engagement and with the Chief of Staff to administratively support the executive team. The mission is to make the employee experience a competitive advantage for Ethos.
Your days will start by ensuring the pantry is fully stocked, and the dining area is clean and ready to go for the day. You'll then respond to the daily requests from the property manager, external vendors, and employees on their office and Workplace Experience needs. Throughout the day, you'll shift your attention to members of the executive team to ensure their calendars are organized and travel schedules are arranged. Soon it's lunch time and our meal vendor will arrive and you'll ensure lunch is ready for the team. Before the day is over, you might support the HR team with some employer branding outreach or our Chief of Staff with some ad hoc projects.
Duties and Responsibilities:
- Be the culture champion for the San Francisco office
- Receive, sort, and distribute incoming mail and deliveries, and process outgoing mail
- Manage visitor access (ie. badging, etc.) and provide a welcoming office environment
- Oversee and manage groceries, kitchen supplies and catered meals throughout the week. Maintain a fully stocked pantry and clean dining area
- Be responsible for managing and organizing internal events (trainings, business meetings, volunteer events, happy hours, holiday events and team onsites/social events)
- Be responsible for the day-to-day relationship with the property manager in our SF Office
- Establish and maintain effective working relationships with Executive team, IT, People, Finance, Legal, and external vendors
- Ensure new SF hires are properly set up in the office (desk, computer, key card access to the building and office suite, etc.)
- Purchase supplies, run office-related errands and be point of contact for office equipment needs
- Set up, maintain, and keep organized conference rooms, supply storage, various office resources, etc.
- Perform administrative duties, maintain files, and organize documents as necessary; etc
- Be responsible for administrative support for members of our Executive team
- Support our executive team EA on certain larger projects and during exceptionally busy times
- Support Chief of Staff/VP of Communications with ad hoc projects including offsites, employer branding and social media
Qualifications and Skills:
- Have a passion for creating a welcoming office environment
- Love to plan a good party
- Expert communicator with an open mind and positive attitude
- Social media friendly
- Highly organized multitasker who works well in a fast-paced environment
- Willingness to learn and to grow with the company
- Prior experience handling office responsibilities, experience in customer service, or related field
- Passion for delivering a high-level of customer service and confidence in managing a range of stakeholders
- Proficient computer skills, including Google Suite (Docs, Sheets, Slides, etc.), scheduling appointments/updating calendars
- Able to come into our San Francisco office at least 3 days a week

The US national base salary range for this full-time position is $28 - $38 hourly. Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
