POSITION SUMMARY
Perform various clerical duties in support of the WIC department that includes heavy interaction with the public ensuring that participants receive positive customer service, maintaining confidential information such as income eligibility, participant benefits, etc., and ensuring that the program meets quality standards.
CORE ACCOUNTABILITIES
Clinic Clerk
- Interview clients, determine eligibility and enter necessary information into the computer.
- Answer telephone in a friendly matter and refer all in-coming calls to the appropriate person.
- Establish, update and maintain filing system of client records.
- Prepare and file certification forms ensuring the form is completed correctly.
- Play Cert Visit Education Video to clients at all Certification Visits
- Maintain clinic scheduling per policy and schedule appointments in the Cornerstone system.
- Issue coupons according to WIC package assigned by CHP.
- Run Beginning of Day (BOD) and End of Day (EOD) procedures as assigned.
- Complete vendor compliant forms as needed.
- Maintain security of office property, such as, computers, food instruments and I.D. cards.
- Make reminder calls to clients as assigned.
- Check billing forms.
Office Clerk
- Document voided Food Instruments in binder and then shred.
- Enter Food Instrument numbers into the computer and send transmittal to the State.
- Maintain, organize and perform inventory on supplies. Notify Maternal Health Child Supervisor when supplies are needed.
- Compile reports as required and forward to Maternal Child Health Supervisor.
- Mail Motor Voter applications every Monday.
- Enter monthly schedules into the computer.
- Pull five-year-old information out of family file.
Receptionist
- Welcome and greet clients and visitors to the department in a manner that is helpful and friendly; determine purpose of visit and direct them to appropriate place.
- Hand out appropriate paperwork as clients check-in.
- Highlight Case Management client needs on daily schedule.
Additional Duties and Responsibilities
- Participate in staff meetings, conferences, training sessions and workshops as assigned.
- Demonstrate familiarity with policies, performance standards and the agency's Mission, Vision and Core Values.
- Be familiar with the Program Policy and Procedure manual.
- Exhibit a positive, professional attitude and maintain friendly and respectful relations with staff, children and families.
- Be a contributory team member in a positive/productive manner.
- Maintain HIPAA and confidentiality policy.
- Participate in WIC/FCM Outreach activities as needed.
- If bilingual, serve as a translator as needed.
- Rotate between site locations as needed.
- Perform other duties as assigned
QUALIFICATIONS
- High school or GED required.
- Bi-lingual (Spanish/English) preferred.
- One year of customer service and/or data entry experience preferred.
- General knowledge of computers and office equipment required.
- Positive, empathic approach and ability to communicate effectively with families.
- Possess excellent, highly developed listening skills and both written and oral communication skills.
- Must be detail-oriented, able to think critically and efficiently organized with the ability to maintain detailed records.

- Ability to work effectively in collaboration with diverse groups of people.
