The Role and What You'll Do:
Primary Responsibilities
  • Provide assistance in the implementation and management of processes, technologies, and proprietary systems that are utilized by product and event teams, including but not limited to Rosterfy, Airtable, Wiz-Team, MailChimp, Slack, and Microsoft 365.
  • Assist in sourcing, vetting, implementing, and managing new systems, including but not limited to a SCORM course creator, live streaming and recording platform, knowledge base, and additional communications platforms.
  • Support and enhance the Workforce Operations team internal and external communications, including but not limited to platforms such as MailChimp, Instagram, and Rosterfy.
  • Develop and maintain continuous knowledge of internal workflow processes and technologies.
  • Support on-site event execution logistics related to workforce technology, communications, and event operations such as workforce shifts and check-ins/outs, daily workforce text communications and newsletters, reporting, and Rosterfy troubleshooting.

Workforce Database Development & Management
  • Work with Manager to continually develop and optimize the workforce database platform, Rosterfy, for Paris 2024.
  • Develop Rosterfy for Milano Cortina 2026 and future Games as appropriate.
  • Create detailed documentation for Rosterfy and assist in providing system training for both the Workforce Operations team and the wider Olympics team.
  • Assist in the management of data transfers and imports/exports, as well as monitoring the workforce intake process in the system.
  • Become proficient in the use of the various integrations in place between Rosterfy and third party platforms; assist in the ideation and development of new integrations.
  • Assist in organizing and analyzing requests for system enhancements from Workforce Operations and other event teams; develop enhancements documents and plance, and collaborate with third party software companies on those requests.

Workforce Communications & Creatives
  • Contribute to workforce event newsletters by writing and gathering content, formatting and proofreading content, and maintaining an accurate send list, according to the established strategic plan.
  • Design or work with the Manager or Design team to develop creatives used in communications and other Workforce Operations Projects.
  • Produce or assist in the production of high quality and professional documentation, trainings, templates, etc. using professional-level software.
  • Assist in the strategy and creation of on-site communications procedures.

Administrative & Other Responsibilities
  • Collaborate with the remotely based Manager and the rest of the Workforce Operations team, other On Location and Endeavor team members, and third parties to assist in establishing efficiencies and consistencies in product development and implementation.
  • Actively promote learning and self-development within the team. Commit to progressing existing skillset and learning new skills with the intent of progressing the department.
  • Attend meetings and take notes to record updates and next steps, when required.
  • Manage timelines and deadlines related to assignments.
  • Identify, understand, and remove roadblocks.
  • Participate in brainstorm sessions; research, ideate and provide creative ideas.
  • Cultivate a working knowledge of all operations events/services .
  • Execute all other duties assigned by the team or leadership .
  • Available to assist other workstreams related to Olympics as needed.

Travel
Must be adaptable with work and travel schedule, including both domestic and international destinations. Available to travel for work during holidays, weekends, and key event times.
You Have These :
• Excellent writing/editing and verbal communication skills
• Understanding of communications ethics and etiquette, with a good grasp of how audience and platform modifies the content.
• Experience with multiple technologies and proprietary system development related to staff scheduling and operations management, inventory management, and data analytics, and an ability to become proficient in new softwares in a short time frame.
• Proficiency in MailChimp or similar, Microsoft 365, Airtable, preferred.
• Strong Microsoft Excel skills required.
• Familiarity with Adobe Creative Suite and/or comparable design software is a plus.
• Existing knowledge of shift scheduling platforms such as Rosterfy and Lasso is a plus.
• Highly collaborative style, a relationship-builder and leader.
• A strong track record as an implementer who thrives on managing a variety of key initiatives concurrently.
• Self-starter, able to work independently, and entrepreneurial; enjoys creating and implementing new initiatives.
• Excellent time-management and organizational skills.
• Excellent situational analysis and decision-making skills.
