POSITION DESCRIPTION
URAM- Harlem United’s Wellness Center is a Licensed State Operated and Article 28 Mental Health Clinic that Is collocated in our federally qualified health center (FQHC). Our healthcare facility is looking for an Intake Specialist to manage internal and external referrals and help with the coordination of behavioral health care. The successful candidate will be responsible for fulfilling myriad of administrative duties in both the front and back of the office, scheduling, scanning, and patient communication. ESSENTIAL JOB FUNCTIONS
Back Office Duties
- Completion of Prior Authorizations for Article 28 and Article 31 initial clients.
- Initial point-of-contact for calls from prospective clients, caregivers, or pending enrollees.
- Ensure a seamless, complete, and effective process for all prospective clients into Behavioral Health Services.
- Ability to actively listen, determine client needs, ask probing questions, and schedule intake appointments based on the client’s needs.
- Obtain consent and request the client’s Mental Health records.
- Confirm Insurance eligibility for all Article 31 and Article 28 initial clients to help ensure all clients are assigned to the appropriate providers based on insurance.
- Work with Clinical Supervisor or Clinical Director to determine if prospective clients are appropriate for Article 28 or Article 31 Behavioral Health Services.
- Work with Clinical Supervisor or Clinical Director to make sure all non-eligible clients and discharged clients are connected to care as required by OMH.
- Make appropriate and timely referrals on behalf of clients who are not appropriate for Article 31 and Article 28 services.
- Complete documentation of all client interactions through telephone encounters and trackers.
- Perform daily follow-up calls to missed intake appointments and document encounters.
- Create and maintain intake and trackers as outlined by OMH.
- Submit the required paperwork in a timely fashion.
- Attend administrative and clinical supervision on a weekly basis.
- Participation in weekly staff (team) meetings, agency meetings, and other internal staff meetings as required.
- Other tasks not currently assigned or described above as relevant to the general intake specialist role.
Front Office Duties
- Greet patients when they arrive at the office and provide them with linkage to the services they need for the day.
- Schedule appointments and confirm appointments prior to the visit.
- Inform patients of credit card declines and other billing issues.
- Appointment confirmation calls.
- Creates and maintains electronic patient records.
- Ensures accuracy of all client and visit data each day, verifying patient demographics, insurance, and visit status daily.
- Registers new patients obtaining the required information and documentation.
- Verify Transportation eligibility and disbursement of Metro Cards.
EDUCATION AND CERTIFICATION
Bachelors in Psychology, Liberal Arts, Social Work, and Public Health preferred/associate degree required.
A working knowledge/experience of HIV/AIDS, mental health issues and diagnoses, and provision of mental health individual and group counseling is desirable.
