Job description

Introducing KHAADI. We are a pioneering women’s fashion brand bringing eastern fashion to the modern woman. Being successful in other cities such as London and Dubai, we are now entering the USA market with big ambition for expansion.

We are looking for an experienced Warehouse Manager who can deliver an end-to-end customer service experience in line with the Khaadi brand. Maximise efficiencies and profitability.

General Tasks

Deliver fulfilment activities to optimise and exceed targets, profitability and customer satisfaction

Reconcile daily sales and stock reports

Managing budgets

Manage refunds and returned items.

Help develop and implement the Warehouse Operations Manual, including SOPs for order packing and collection

Develop system to track and report on delivery of all orders

Handle issues directly or escalate to the respective individuals/departments.

Identify process gaps and issues and recommend processes to improve efficiency and productivity.

Orders and Deliveries

Maintain daily delivery reports, undelivered orders, delayed delivered orders,

Manage last mile partners to ensure daily dispatches are accurate and orders are fulfilled on time and correctly

Ensure care and detail is provided in packing of goods

Ensure the orders are picked, packed and shipped in accordance with KPIs

Quality assure returns to assess for damage and report to appropriate authority

Ensure packing of orders are validated as accurate before collected

Work with last mile partners to ensure established processes and timelines are met, and resolve any issues, as necessary

Resolve issues in order processing or last mile delivery and investigate root cause to prevent from reoccurring, escalate to relevant department when necessary

Prepare orders in line with priority of the day and to the required timelines

Complete orders accurately and ensure fully completed with tags removed and checked for quality issues before stacking for collection

Follow all processes to ensure all steps are taken to prepare orders

Customer care

Deliver customer satisfaction by ensuring end to end customer experience meetings the Khaadi standard

Liaise with customer service team as necessary to address any issues or special-order requirements

Monitor all open orders and backlog to ensure thorough follow-up with customer service team and update them of issues or delays

Report any process issues or problems that could affect completing orders on time

Stock Management

Reconcile stock with system and physical through daily monitoring of stock reports and regular stock takes

Produce reports on stock levels, order status, last mile performance and key performance indicators

Verify that enough inventory is available to fill orders

Work with planning manager to ensure physical inventory count is optimal for maximum sales

Organize stock room to ensure the most efficient picking system

Report any out of stock orders or incomplete orders

Check stock for damages and ensure removed from system

Responsible for receiving all stock in accordance with stock management processes

Report low stock levels promptly

Perform inspection on deliveries to confirm quality and no damaged stock

Maintain an accurate inventory with daily checks and regular stock takes

Audit inventory through regular cycle counts, as required

Staff Management

Supervise and train staff on order fulfilment, delivery guidelines, health and safety, company policy and procedures

Provide daily guidance to the team members for prioritising workload and scheduling orders and work assignments

Monitor individual and team productivity and drive continuous improvements by setting goals and tracking results

Attendance management for both permanent and temporary staff

Monitor workload and request incremental staffing needs to support seasonal demand

Create direction and a culture of accountability for team

Manage/resolve employee issues and escalate as necessary

Monitors & meets KPIs for daily productivity and provides a regular reporting of overall performance

Admin Tasks

Ensure the warehouse is well maintained

Manage the supplies required, maintaining proper levels and reorder as required

Complete all paperwork/ logs required

Ensure all storerooms are always secure and all goods are stored in their correct location

Properly place trash, empty cardboard, and pallets in storage areas

Ensure collection point is well managed and clearly marked which parcels are ready for collection

Minimize risk of accidents, injuries, and unsafe work conditions

Maintain storerooms, passageways, floors, walls, office areas so that the highest degree of sanitation is kept. Perform daily check on the storage facilities for upkeep and hygiene

Responsible for completing requisition forms for inventory and supplies and ensure all requisitions are properly authorized.

Ensure business operates lawfully and in line with trading laws and standards and global best practices

Compliance with Health and Safety regulations and local labour laws

Adhere to quality assurance expectations and standards.

What we need from you:

  • Proven success in the ability to lead, build, develop processes
  • Strong management experience building, leading, and managing high performing teams
  • Experience with last mile vendors
  • Fluent English Speaker
