The Logistics Warehouse, situated within the Supply Management vertical of Supply Chain and Logistics, operates in alignment with Oregon Health & Science University's (OHSU) commitment to excellence. Located in the South Waterfront, our warehouse stands out due to its specialized focus on healthcare partners, supplies, and necessary support for a Level One Trauma Center. The in-office location at the Macadam Warehouse is in close proximity to managed inventory and staff reporting to this role. This role manages its own team dedicated to inventory management and reports to the Assistant Director of Supply Management. The team of 10 directs and manages work directly with Clinical Stakeholders, Perioperative Services, Pharmacy, Ambulatory, and Purchasing. This role may also work closely with OHSU Health Partners as needed. Our mission is twofold: to contribute to OHSU's journey to make Oregon a national leader in health and science innovation and to transform the OHSU Supply Chain & Logistics (SC&L) function into a best-in-class supply chain organization, ensuring seamless logistical operations to support the institution's esteemed healthcare services.

 

The Inventory Manager oversees and enhances the performance, productivity, efficiency, reliability, and resiliency of departmental and organizational operations through effective methods and strategies. They possess expert knowledge of OHSU's Inventory Systems and are the subject matter expert in managing inventories at OHSU. Responsibilities include strategic planning and process development to minimize supply chain waste. This role manages approximately $9.2 million of medical supply inventory at the Macadam Warehouse, Customer Owned Inventory (COI), offsite storage of medical supplies if needed, and $1.6 million in sub inventories across OHSU. Utilizing project management skills and logistics tools for cost-effective inventory management is critical to success. Learning and understanding of OHSU’s performance excellence systems (OPEx) will be required for this role to enhance collaborating with other Logistics, support, nursing, and clinical departments to meet inventory needs for regular or substitute supply management. Managing relationships, coordination, and the inventory of offsite medical supply storage may require learning and use of additional programs or processes. Providing recommendations and support for inventory and operational improvements. Managing OHSU's medical supply distributor and Logistics Warehouse fill rates to ensure supply chain continuity and provider access to medical supplies. Addressing critical medical supply shortages by finding substitutions or expediting purchases with buyers.


OHSU's Inventory Strategy & Program Management

  • Continually monitor resources, processes, and procedures of inventory strategy & program management for OHSU. Oversees the $6.3 million of Macadam Warehouse inventory processes to procure and stock appropriate levels of necessary supplies to ensure continuity of the supply chain. Collaborates with OHSU medical supply distributor, Purchasing, and other departments to convert, substitute and acquire new products. Responsible for having expert knowledge on the JIT/LUM program, ParEx, Pyxis, ParKing, IPA, PickPro, and Home systems. Accountable for making inventory decisions on product changes and cost-savings initiatives as requested by the OHSU Value Analysis Committee. Manages tracks coordinates inventory that is in storage at our offsite storage location in North Portland. Inventory is being added and subtracted to this location weekly.

Process Control & Project Management

  • Responsible for overseeing and improving departmental processes and ensuring that each operates efficiently and effectively. Works closely with PeriOp, the Distribution Manager, Customer Service Manager, and Linen/Surgery Supervisor to develop and implement processes, standards, and improvement initiatives, which will ensure that the Logistics warehouse is following best practices in the entire supply chain. To improve processes and procedures, they will utilize the guidelines of OPEx to Formulate and implement departmental and organizational goals. Monitors and adheres to rules, regulations, and policies— with a strong focus on building excellence from the ground up.

Financial Management

  • Must meet or exceed fiscal goals monthly and is accountable for justifying any variance to senior management ($500k). Responsible for managing $6.3 million of Logistics Warehouse Inventory and 123 sub inventories totaling $1.6 million. Also accountable for approving the Logistics Inventory daily requisition.

Reporting

  • Responsible for reading, tracking, and writing any Patient Safety Intelligence (PSI) reports to manufacturers, other Logistics Managers, and nursing staff. Establishes Key Performance Indicators (KPIs) and other metrics to measure the performance and drive improvement of all inventory locations. KPIs would include but are not limited to: inventory value, inventory turns, cycle count accuracy, inventory adjustments, ABC stratification (including identification of slow-movers & no-movers), and Economic Order Quantity (EOQ). Monitors daily inventory reports for spikes, incorrect transactions, or missing transactions. Collaborates with Business Data Analyst 3 to create and run inventory reports.

Personnel Management

  • Fully responsible for hiring, coaching, and training the Inventory Team. Must effectively communicate expectations with departmental staff through individual GROW conversations, one-on-one meetings, coaching, and staff meetings. Monitor and evaluate performance, act as a role model for our core competencies, and use the Campus Services six tenets to guide the culture. Creates an environment of positive engagement by including staff in decisions that affect their work, providing timely and clear communication, establishing clarity of roles and responsibilities, delegating responsibilities to the lowest level possible, and supporting high levels of staff accountability.

Customer Relations & Other duties as assigned

  • Ensuring and establishing proper communication with customers to meet the needs of individual units and OHSU as a whole. Responsible for providing information detailing the Logistics inventory supply, substitutions, recalls, conversions, backorders, customer service expectations, timelines, and keys to service excellence.

  • Bachelor's degree in Business, Supply Chain Management or related field or an equivalent combination of training, education, or experience.
  • 5 years experience in Supply Chain functions.
  • 3-5 years in a Supply Chain Manager leadership role leading others.
  • Must have a base knowledge of Supply Chain Management and understand how this impacts the success and performance of the organization.
    • Understanding and application of; ABC Analysis, Just-In-Time inventory programs, Par Level Management, Lead Time Management, Vendor-Managed Inventory (VMI), Continuous/Periodic Review System, Buffer Stock Theory, and Economic Ordering Quantity theories.
    • Project management training and experience.
    • Experience presenting in front of Senior Leadership. Must understand concepts including Must be able to develop Return on Investment, possess excellent analytical and problem-solving skills, and excellent customer service characteristics such as communication, professionalism, and follow-through.
    • Must be able to effectively communicate program goals to all levels of staff, management, and stakeholders.
    • Must have strong organizational skills, with the ability to prioritize workload and manage multiple projects simultaneously.
    • Must have the ability to use tact and diplomacy to maintain effective working relationships.
    • Must know about OHSU Systems, including Oracle.
    • Must be able to utilize MS Word, MS Project, MS, Access, MS Excel, and Smartsheet.

Salary Range: $89,794 - $143,416 (Commensurate upon experience, education, and internal equity)

  • This position works in a busy environment with many interruptions, multiple demands, and people interactions. Must have the ability to be flexible in work schedule and be available to work on short notice. Some early mornings, nights, and weekends may be required. The work environment is in a cubicle office, in a warehouse or office environment, and the field in hospital and clinic settings with exposure to patients, lab experiments, and other hospital-related situations and exposure to hot and cold weather elements and moderate noise and dust. Must be willing to travel between all OHSU satellite locations and to off-campus locations if needed. Requires work hours beyond standard office hours, as required. Some travel to industry conferences, site visits, etc., is needed infrequently. Manages inventory on Marquam hill/Macadam Warehouse, with meetings throughout the OHSU campus.
  • This position requires sitting for long hours mixed with long periods of standing and/or moving around. Includes use of computers and phones. Ability to speak clearly, demonstrate patience and understanding of customer needs. On occasion there is moderate lifting, stooping, and bending, use of materials handling equipment, pallet jack (electric and manual), forklift, hand truck, dolly, and carts during emergencies to ensure Operational integrity.
