Job description

BetterLife's Virtual Event Coordinator will play a pivotal role in planning, organizing, and executing Virtual Events that engage our members and enhance our brand presence. The focus is on events that are consistently efficient, cost-effective and memorable. This role is the "go-to" person for members, staff and vendors and will coordinate everything from a big-picture viewpoint to create flawless, virtual experiences for our members.
Essential Job Duties & Responsibilities
Event Planning:

    • Collaborate with internal stakeholders to understand event objectives and requirements.
    • Develop comprehensive virtual event plans, timelines, and budgets.
    • Source and liaise with virtual event platforms and vendors.

Platform Management:
    • Utilize virtual event platforms to set up and manage online events.
    • Ensure technical aspects, such as audio, video, and interactive features, run smoothly.
    • Troubleshoot and provide technical support during events.

Content Coordination:
    • Work closely with content creators, speakers, and presenters to coordinate presentation materials.
    • Ensure seamless integration of pre-recorded and live content during Virtual Events.
    • Manage Q&A sessions, polls, and interactive elements to engage participants.

Promotion and Marketing:
    • Collaborate with the marketing team to create promotional materials and strategies for Virtual Events.
    • Utilize social media and other channels to maximize event reach and attendance.

Audience Engagement:
  • Host virtual communities involves creating online spaces where people with shared interests, goals, or activities can connect, interact, and engage
  • Develop and implement strategies to enhance attendee engagement and participation.
    • Monitor chat discussions and facilitate interaction among participants.

Post-Event Analysis:
    • Collect and analyze post-event feedback and data.
    • Provide insights and recommendations for improving future Virtual Events.

Education & Experience
  • Bachelor's degree in Event Management, Marketing, related field, or equivalent work experience.
  • 2 years proven experience in planning and coordinating Virtual Events.

Knowledge, Skills & Abilities
  • Proven track record of organizing creative, successful events
  • Proficient in MS Office Suite - including intermediate to advanced Excel capabilities
  • Able to handle stress and remain calm and maintain a member-service mindset
  • Problem-solving ability
  • Familiarity with virtual event platforms and technologies
  • Strong project management and organizational skills
  • Excellent communication and interpersonal abilities
  • Creative mindset with the ability to think outside the box.
  • Flexibility to work outside regular business hours during events
  • Ability to adapt to evolving virtual event technologies and trends
  • Familiarity with CRM tools and data analytics is a plus

This position requires minimal travel.
Work Environment & Physical Requirements
This role can be performed 100% remotely if ideal candidate lives outside of Madison, WI.
This position is performed in an office environment (could be done remotely) and requires prolonged periods of sitting at a desk and working on a computer. Individuals must be able to lift 15 pounds at a time.
