Job Description
Title : Virtual Event Producer - Healthcare
Reporting to : VP of Production
Location : Remote, strong preference for Eastern and Central Timezone
HCEsquared is seeking an experienced Virtual Event Producer to own and execute our virtual conferences including hybrid multi-day national conferences, weekly webinar series, and day-long virtual only dermatology medical education conferences.
The position will be part of the Events team which executes both in-person and virtual medical conferences.
Prior experience in healthcare and continuing medical education is a bonus.
The role entails total oversight for all facets of virtual and hybrid conferences and webinars.

• Responsibilities will include:
• Manage timelines and deadlines
• Coordination with production streaming vendor
• Faculty management and coordination of pre-recorded lectures
• Quality assurance of video recordings, edits and post production
• Preparation of run of show live event production rundown and timing
• Preparation of housekeeping slides for moderators
• Oversight of day of production, show calling and virtual experience (Evening and Weekend Coverage required)
• Registration reporting
• Coordination with registration and marketing teams
• Development of registration website with streaming / hosting vendor
• Copy preparation and editing for web pages
• Coordination with freelance designer for banner ads, templates and artwork for program
• Working with production on in-person event video edits post event and posting from hybrid events
• Liaise with sponsorship team regarding assets and deadlines for sponsor activations and branding opportunities
• Coordination with vendor for voice over recordings
• Development of push notification messaging
• Preparation of on demand version of programs when applicable.
• Internal status updates and tracking in project management software
• Post-event reporting

Qualifications and Skills
Required

• 4-year degree from an accredited institution
• 3+ years executing virtual conferences

• Proficient with Microsoft Word, PowerPoint, Excel and Outlook
• Experience with virtual platforms including zoom
• Extremely detail-oriented
• Problem solver with ability to be resourceful and solution-oriented
• Ability to work independently and under tight timelines
• Hyper-focused on the "virtual attendee experience" and reporting on programs
• Organized, creative, and efficient
• Strong customer service orientation and ability to act diplomatically
• Excellent oral and written communication skills
• Ability to manage a variety of live-virtual and hybrid events
• Experienced in all aspects of virtual meeting planning. To include but not limited to contracting faculty, virtual platform expertise, program execution and presenting post program deliverables as needed
• Ability to work during the evening and on weekends for coverage of live events when scheduled

Preferred

• Prior experience with Cvent registration and virtual platform preferred
• Previous experience interfacing with HCPs
• Strict attention to detail
• Excellent problem-solving skills with proactive approach to things
• Ability to develop and implement processes
