Job Title: Plan Room/Tech Administrator
Reporting To: Design & Estimation Manager
Operating Department: 50% Amin and 50% Tech
Work Schedule: Monday Friday, 8:00 AM 5:00 PM
Job Summary:
Description: This position will be directly responsible for obtaining and processing project information for sales and estimating, producing a weekly schedule for estimating, design, and quote status log for all outstanding, closed, or lost quotes. This position will also oversee copying, scanning, and downloading all plans sent to the plan room and tracking them through each department. Also, this position will oversee the admin asst. and all design to production paper flow while maintaining the accuracy of all reports generated through our technical department.
Experience-Education-Certifications
  • High School Diploma or GED
  • 3-5 years office experience or experience and or training in a related field.
  • Typing of 40-50 words per minute
  • Computer Knowledge: Microsoft Office 2003 Professional includes Word, Excel, Access, Publisher, and Outlook. MBA and Mitek or other Truss design software a plus.

Responsibilities and Duties
  • Directly responsible for tracking projects through each stage bid, quoted, sold/lost, designed/produced, etc.
  • Scanning, copying, and printing plans and specifications as required.
  • Producing and distributing weekly bids pending and all updates to the sales force.
  • Providing support to the sales staff as needed with plans etc.
  • Maintaining and signing up for all new lead services as requested by the President.
  • Producing and maintaining the design, estimating, and production schedule required by the President of the company.

Technical Duties
  • Create, Maintain, Distribute reports such as Production Scheduling, Out for Approvals, Order Tracking, Month End Inventory, Designer Bonus, Estimator Schedule, and Designer Schedule.
  • Initiate all apartment jobs and work with admin to perform counts and prepare spreadsheets.
  • Update Completions on Truss Board and for all track builders
  • Oversee all duties of the admin assistant. (See admin asst description and responsibilities.
