Essential Job Duties and Responsibilities:
- Partner with the Senior Leadership Team (SLT) and their executive assistances to plan and coordinate domestic and international travel.
- Responsible for coordinating and booking the CTS USA based SLT travel using the company system (Concur) and company appointed travel agent in a timely, cost-effective manner in accordance with the company policy.
- Prepare itinerary and ensure all immigration requirements are met and processed ahead of travel. Supports day-to-day traveler inquires, changes or issues.
- May be required to prepare expense reports for SLT in partnership with executive assistant team.
- Partner with the regional executive assistant for the regional SLT travel where appropriate for example where they are travelling with the USA based team, or to cover them during periods of PTO.
- Plan and coordinate group travel for CTS connected with customer or industry or internal meetings or events. Prepare itinerary and obtain group pricing in advance.
- Concur system super-user, able to train and provide guidance on the tool, partner with the corporate travel relationship manager on continuous improvements.
- Acts as travel liaison to address ongoing concerns/updates with travel management company working with the corporate travel relationship manager.
- Responsible for overseeing the CTS travel budget and spend working with finance. Seek opportunities to reduce cost through advance booking, group pricing and block booking of lodging etc.
- Prepare reports of travel expenditure and trends as directed.
- Monitors and supports travel and expense policy compliance and out-of-policy approval matrix.
- Reviews and prepares for payment, all travel related invoices.
- May be assigned additional duties or projects from time to time.
- Bachelor’s Degree preferred with a minimum of five years’ experience in travel management, administration and travel management tools or an equivalent combination of education and experience.
- Must have excellent communication skills with the ability to work collaboratively with all levels of the organization. Prior experience of supporting a global senior leadership team desirable but not essential.
- Proven financial acumen and analytic skills, able to manage a budget and prepare detailed reporting. Ability to analyze and understand complex information.
- Must have strong negotiating abilities to obtain cost effective rates.
- Prefer working experience with Concur travel management tool or similar
- Must also have proven ability to handle confidential information discretely and with tact.
- Ability to prioritize work, complete multiple tasks, and work under deadlines.
- Devises solutions based on limited information and precedent and adapts existing approaches to resolve issues. Uses evaluation, judgment, and interpretation to select right course of action.
- Familiarity with or prior experience in travel and tourism.
- Our compensation reflects the cost of labor across several US geographic markets. The base pay for this position ranges from our lowest geographic market up to our highest geographic market.
