Job description

Our Transaction Coordinator position is a key role to ensure that all of our Agents experience seamless contract management from the procurement of a new listing or under contract submission through the closing timeframe. This role transcends different departments within the company to ensure that the Agent never misses an opportunity to connect with their client through tasks that extend past the closing date.

Job Responsibilities Include:

  • Assist broker with pre-listing items not limited to: CMA preparation, LRE letters, listing presentations, E&O requests, etc
  • Coordinate media and sign installation requests
  • Enter and maintain office listings in MLS, DASH, showing service and other internal systems including any price updates, HOA updates and other changes including yearly tax updates for active listings and re-activations as needed
  • Assist with minor In-Design creation and printing all property specific marketing materials such as flyers, open house marketing, feature cards and temporary brochures
  • Assist brokers in all aspects of contract management including syndication
  • Contract preparation (licensed Transaction Coordinators only)
  • Assist with eCalendar set up for broker and employ calendar reminders
  • Order HOA/Common Interest Community receipt as requested by broker
  • Update under contract properties within the LIV SIR system (MLS, Dash, LoneWolf, local transaction management service)
  • Send relocation all applicable closing documents (if relocation transaction)
  • Ensures relocation documentation is up-to-date
  • Check for receipt of earnest money and satisfied deadlines and contingencies
  • Ensure copy of title commitment is in file for each transaction
  • Coordinate closing with title company, lender, customer and/or broker with list of closing details outstanding
  • Review local transaction management service documents and prepare final audit a week before closing and notify broker
  • Review preliminary settlement statements to ensure $250 admin fee is included and commission is correct
  • Ensures file is compliant prior to closing
  • Reconcile in local transaction management service to confirm all documents / tasks have been completed
  • Prepare and send closing confirmation email to broker
  • Turn in settlement statements to accounting for payment
  • Ensure managing broker has signed off (if non-qualified listing, commission changes & client credits)
  • Make copies of settlement statements and HUD letter for year-end taxes
  • Upload all final closed documents into transaction management service and LIV SIR OneDrive for storage
  • File Audit for Compliance (licensed Transaction Coordinators only)
  • Assist brokers with additional support requests as needed
  • In-house resource for all company utilized platforms
  • Maintain a professional, organized and clean work environment

Customer Service/Culture

  • Know and encourage the LIV Mission and Values
  • Encourage out of the box thinking with engagement between brokers and transaction services

Job Specific Requirements

  • Minimum 1+ year experience as a Transaction Coordinator recommended
  • Real estate license is preferred, or willingness to obtain license
  • Must be able to work well in a fast-paced environment
  • Excellent interpersonal, verbal and written communication skills
  • Team player with a positive, results driven & solution orientated attitude
  • Strong work ethic to handle multiple requests with excellent attention to detail and strong time management skills
  • Good understanding of transaction management service
  • Working knowledge of local multiple listing service(s)
  • Proficient in Microsoft Office Suite w/ good understanding of Outlook and use of CRM

Compensation & Benefits

  • Salary Range dependent upon experience

  • Hybrid office/telecommuting option after 90 days of employment.
  • Hours are 8:30 - 5:00PM, Monday through Friday
