Our growing accounting firm is seeking a motivated and detail-oriented Tax/Office Support Specialist to join our team. In this role, you will provide vital administrative and technical support to our accounting professionals, ensuring the smooth day-to-day operations of our team.
Responsibilities:
- Maintain filing systems (both physical and digital) for financial documents.
- Correspond with clients in a professional and courteous manner to schedule meetings, update account information, and obtain financial documentation.
- Provide general administrative support to the team, including but not limited to scheduling appointments, managing calendars, preparing presentations/reports, and maintaining office supplies.
- Prepare and process engagement letters.
- Perform data entry, invoicing, and payments.
- Assist with bank reconciliations and ensure accuracy of financial records in QuickBooks.
- Prepare financial reports and spreadsheets as needed.
- Maintain confidentiality of all financial data.
- Stay up to date on accounting software updates and correspond with accounting software help desks as needed
Qualifications:
- Minimum of 3 years of experience in an office management or administrative role, one year of tax experience preferred.
- Associate degree or equivalent experience.
- Strong understanding of accounting principles (familiarity with debits and credits).
- Excellent typing skills with a high level of accuracy
- Exceptional customer service skills and the ability to handle customer inquiries professionally
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Attention to detail and the ability to maintain accurate records
- Experience working in QuickBooks, TaxAct, Tax Dome or other accounting software
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication skills, both written and verbal
- Ability to work independently and collaborate effectively with the team
