Talent Strategy and Support Associate Job Description

Main Function:

Work under the Director of Education and Curriculum to coordinate all talent hiring and human resource activities. Support the Director of Education and Curriculum, staff and the wider school community in activities related to school operations.

Human Resources and Talent Strategy

  • Co-coordinate all recruitment and talent goal-setting and planning processes.
    • Co-create talent and recruitment calendars, strategies, benchmarks, goals
    • Ensure a robust talent recruitment marketing strategy is in place
    • Work to improve talent recruitment of minority candidates and all teaching candidates
  • Create data reports to assist in being data-driven in all hiring choices
    • Creation of retention statistics presentation and determination of high-yield staff recruitment sources
    • Create/Maintain a list of new markets for staff and deploy relationship builders as needed
  • Oversee and Liaise for all employee marketing efforts: work with DEC to:
    • Assure job postings are up to date and accurate
    • Post or remove postings as necessary
    • School website communicates appropriately to candidates and to parent stakeholders about candidates
    • Assure clear and inspiring role descriptions are used
  • Co-Screen applicants and recommend resumes for further review
  • Organize and coordinate candidate phone screenings, interviews, etc.
    • Conduct phone screenings and reference checks as required
    • Coordinate and organize in-person interviews, including preparing materials for the hiring team
    • Assure candidate follow up is timely and appropriate
    • Provide school tours for candidates
    • Ensure 3 references are received per candidate
  • Assure all new candidate paperwork is turned in, processed and organized.
    • Assist DBO with collecting financial paperwork
    • Coordinate background checks for new hires
    • Maintain candidate hiring paperwork on file for future reference
  • Conduct staff exit interviews
    • Create reports for administration and board about reasons staff leave and collaborate in suggesting methods to retain high-quality staff
  • Create contracts for TES employees
    • Write contracts for new employees, employee renewals, etc.
    • Work alongside DBO to assure staff salaries are accurate
    • Track and organize all employment agreements
  • Hire, coordinate and supervise substitute teachers
    • Create strategy for recruiting substitute teachers
    • Post position on and off regularly
    • Screen, Interview, and select substitute teachers.
    • Provide orientation and training of new substitute teachers
    • Supervise/check-in with substitute teachers while they sub at school - check in with regular staff about the subs
    • Schedule substitute teachers into best fit positions as possible
  • Monitor and help ensure that all teachers maintain current certification/licensure
    • Create a working knowledge of the latest certification/license requirements by completing training regularly
    • Build relationships with staff at NCDPI and call on behalf of staff to solve licensure issues
    • Track staff certification/license processes
    • Maintain calendars of staff visa status, certification status, test needs, etc
      • Notify staff of licensure tests, deadlines, etc.
    • Assure license renewals are conducted properly and in a timely fashion
    • Process licenses at the school level
    • Assist with the H1B visa process for any new staff as required
  • Training
    • Ensure all onboarded staff complete required safety training
    • Ensure all substitute teachers complete required safety training
  • Staff absences/extra work
    • Track all staff absences using approved tracker
    • Receive requests for personal leave and approve those you can approve and forward others to DEC for approval
    • Track any staff extra work using approved tracker
  • Teaching Assistants:
    • Coordinate TA evaluations by deploying the TA evaluation to teachers to complete on a scheduled basis
    • Review TA evaluation results and bring any concerns to the DEC
    • Set up monthly 10-20 minute TA meetings to celebrate wins, and gather any concerns to solve. Solve concerns or share concerns with applicable person.
    • Act as point person for TA concerns, bring them to applicable person.
  • Update staff contacts
    • In collaboration with school support specialist, create & update staff contact lists


Support

  • Build relationships with school staff and get to know then and their classroom needs in order to:
    • Provide substitute support
    • Assist with staff needs
    • Bring communication from staff to DEC or DBO as needed
    • Alert DEC of any staff issues
  • Coordinate Substitute Teachers for Staff
    • Maintain a substitute teacher database for schedules and payroll
    • Be available early in the morning to text for substitute teachers
    • Maintain spreadsheets of all staff absences
    • Have a major understanding of the master schedule and use that knowledge to create best schedules when there are staffing shortages
  • Track CEUs earned by teachers at our building
    • Support the DEC by maintaining a tracking system for CEU’s earned by staff at TES
    • Prepare print-outs of CEUs for teachers at the end of employment
    • Prepare Form E’s for teachers at the end of employment
  • Staff support
    • Listen to staff questions and refer staff to best person for answer
    • Schedule lunch coverage for upper school staff on Wednesdays and EOG testing days
  • Website Updates
    • Contribute to updating all areas of the website
    • Ensure new staff biographies are updated
    • Ensure staff directory is updated with current photos
    • Update board page
    • All pages, regular updates and checks
  • Google Calendar
    • Keep google calendars for the teachers updated: internal staff calendar, bus calendar, picnic table calendar, assembly calendar, etc.
  • Support the TES Board
    • Post approved board minutes on the TES website
    • Update approved policies on TES Master Policies List
    • Help onboard new TES board members (background checks, paperwork, etc)
    • Update website with board required items
  • Administrative Support for the DEC in the following areas:
    • Report staff issues to the DEC
    • Prep: Packets, binders, materials for Professional Development
    • Scheduling for staff training, staff travel, staff appointments, etc.
    • Direct support to the Director of Education and Curriculum in on other support activities as required
  • Other Random Support Areas:
    • Help clean spaces when staff leave to prepare for new staff
    • Help with arrival and dismissal procedures of students
    • Help cover class recesses and lunch when needed
    • Check in/out FOBS to staff maintaining spreadsheet of staff fob numbers, adding staff fob access to sonitrol’s system
    • Contact sonitrol or monitoring company with any staffing & fob number changes
    • Ensure monitoring company has accurate fob/staff numbers


Tech Support

  • Create and maintain spreadsheets, organizing all staff and student devices including but not limited to staff computers, student chromebooks and iPads
  • Label and organize all staff and student devices
  • Serve as a liaison between the outside tech who serve TES and the students/staff
  • Check in/out BOY and EOY all staff computers and other devices
  • Identify tech related issues caused by students (broken screens, etc) and send fee letter to families
  • Collect and record funds for tech payments, contact families to ensure funds are receieved

Testing Coordination Support

  • Attend state mandated testing training
  • Support Student Services with testing as requested
  • Assist in creating and deploying testing schedules, collaborate with all departments
  • Assist in testing materials management
  • Administer tests
  • Assist in staff testing training
  • Assist in testing reporting
  • Assist in testing data analysis
  • Maintain testing and data confidentiality
  • Ensure test security

Curriculum/materials

  • In collaboration with the school support specialist, create a system for organizing school/student/teacher/curriculum materials
  • Assist in organizing those materials
  • Lead in organizing tech materials (chromebooks, ipads, chargers, monitors, connectors, voice amplifiers, etc, etc)


Supporting “Out Front”

15% (or 5 hours per week, about 1-1.25 hrs/day)- hours arranged in collaboration with the nurse


Reception

  • Be a friendly and helpful “first-contact” for visitors and guests.
  • Follow school’s safety protocols regarding visitors, including all guidelines, policies and procedures related to visitors and COVID-19
  • Welcome and check-in people at the building in a courteous manner and assist them with directions, etc.
  • Answer phones and direct calls in a courteous manner
  • Assist volunteers with directions, locations, copier, etc.
  • Assist with Reception/nurse duties when she/he is absent
  • Assist with lunch deliveries, student missing lunches, etc.
    • Maintain school lunch food supply
    • Notify administrative specialist when lunch items need replenishing
  • Be familiar with the school’s safety protocols, cameras, locks, etc and use these in ways that maintains safety


Student Support -

  • Assist with testing accommodations.
  • Support students in waiting for the Nurse, Dean or Counselor when needed
  • In collaboration with Student Services Coordinator, support student emotional needs if SSC is not available immediately


Nurse Assistance

  • Assist with health related student needs
    • Vision screening
    • Pop-up injuries/illness support as needed
    • Sub for head nurse when she is out
    • Apply bandages
    • Give medication after training
    • Administer ice packs
    • Track nurse visits
    • Relay any serious nurse needs to the nurse
  • Coordinate front desk coverage to account for nurse duties


“Out front” Administration and Support:

  • Accept deliveries and ensure deliveries are picked up or brought to correct staff
  • Assist parents/visitors/volunteers with needs,
  • Assist with check-out of staff in June
  • Support with emergency clean ups such as restroom needs, spills, leaks, vomit, etc. and help address janitorial/maintenance issues that arise during the school day
  • Help whereever needed (lunch coverage, car line duty, etc)
  • Knowledge and monitoring of school safety protocols (especially use of Verkada system and security cameras)
  • Manage lost and found
  • As needed front desk coverage during emergency needs (example when nurse has to go help someone in another space)


Required

  • Minimum: Bachelor’s Degree
  • Able to sit, stand, go up and down stairs and hills, walk across multiple surfaces, bend and reach


Hours

M - F: 7:30am - 1:30pm on campus, 1 hour a week off campus (for early morning/weekend substitute phone calls/texts) for a total of 31h per week.

Works: All Student and Teacher Workdays (10 months) - as indicated in the school calendar + additional days pending hiring needs, adding up to 4 weeks during intersession breaks/summer. This position includes 6 weeks of intersession/vacation per year.
